Job Summary
We are seeking a motivated and organized Assistant Project Manager to join our family-owned construction company. This position is ideal for someone who is detail-oriented, comfortable working with computers and office software, and able to communicate professionally with customers, vendors, and team members.
The right candidate will help keep projects organized, support daily office operations, assist with scheduling and documentation, and ensure smooth communication between the field and office teams.
Responsibilities
- Assist Project Manager with daily administrative and project coordination tasks
- Communicate with customers, subcontractors, suppliers, and vendors by phone and email
- Prepare and maintain project files, contracts, schedules, and reports
- Track purchase orders, invoices, deliveries, and project documentation
- Use Microsoft Excel, Word, Outlook, and OneDrive for project organization and reporting
- Update spreadsheets, job tracking logs, and customer information
- Coordinate schedules for crews, deliveries, and subcontractors
- Help manage permits, inspections, and job paperwork
- Answer phones and provide professional customer service
- Maintain organized digital and physical filing systems
- Support estimating and bidding processes when needed
- Assist with material ordering and inventory tracking
- Work closely with office staff and field personnel to ensure projects stay on track
Qualifications
- Strong computer skills required
- Proficiency in Microsoft Excel, Word, Outlook, and OneDrive
- Excellent communication and customer service skills
- Ability to multitask and stay organized in a fast-paced environment
- Strong attention to detail and problem-solving skills
- Professional attitude and dependable work ethic
- Ability to work independently and as part of a team
- Previous construction office experience is a plus, but not required
- High school diploma or equivalent required
Preferred Skills
- Basic understanding of construction terminology and processes
- Experience scheduling crews or coordinating projects
- Ability to read basic construction documents or plans
- Time management and follow-through skills
