Company: Property Management and Real Estate Office Job OverviewWe are seeking a detail-oriented and highly organized Accounts Payable / Accounts Receivable Office Manager to oversee daily financial operations and support the administrative functions of our growing property management and real estate office. This role is responsible for ensuring accurate financial records, timely payments, effective office procedures, and strong coordination across departments.The ideal candidate has a strong accounting background, experience in office management, and the ability to work independently while handling sensitive and confidential information with discretion.Key ResponsibilitiesFinancial & Accounting Operations

  • Oversee daily financial transactions, including payroll processing, invoicing, and tracking accounts receivable and accounts payable to ensure accuracy and timely execution
  • Process incoming invoices using accounting software and verify accuracy against purchase orders and delivery receipts
  • Prepare and schedule vendor and operating payments in accordance with company policies
  • Maintain organized records of all financial transactions and payments
  • Reconcile accounts payable and receivable statements regularly to identify and resolve discrepancies
  • Assist with month-end closing activities related to accounts payable and receivable
  • Generate financial reports for management review, including analysis of outstanding liabilities, payment schedules, and cash flow

Reporting & Compliance

  • Prepare monthly, quarterly, and annual financial reports, including profit and loss statements, balance sheets, and cash flow statements, for review by senior management
  • Coordinate with external auditors by providing requested documentation and explanations to support a smooth and efficient audit process
  • Ensure compliance with internal accounting controls, trust accounting standards, and company financial policies

Office Management & Leadership

  • Develop, implement, and maintain office policies and procedures to support an efficient, organized, and compliant accounting office environment
  • Facilitate communication between the accounting department and other departments to ensure financial policies and procedures are understood and followed
  • Lead and mentor accounting or administrative staff by assigning tasks, reviewing work for accuracy, and providing guidance and training to improve performance
  • Support onboarding of vendors and assist with vendor management and documentation

Confidentiality & Professional Standards

  • Handle sensitive and confidential information with discretion, including employee records, company financial data, and client information
  • Exercise sound judgment and independent decision-making in daily responsibilities

Qualifications

  • Proven experience with accounts payable and accounts receivable in an accounting or office management environment
  • Prior experience in a clerical, human resources, accounting, or office manager role required
  • Proficiency with accounting software such as QuickBooks, Sage, Workday, PeopleSoft, or similar systems
  • Strong data entry skills with exceptional attention to detail and accuracy
  • Analytical skills to interpret financial data and identify discrepancies or issues
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines
  • Strong communication skills to collaborate across departments and resolve inquiries efficiently
  • Ability to work independently and make informed decisions
  • Real Estate or property management experience preferred but not required
