To be successful in this role you will bring a genuine interest in understanding the business, organisation, our people, partnerships, relationships, kaupapa and goals. This role will have insight into all areas of the organisation, and is a key role to enable the smooth and efficient running of our Tours business and Trust. You will have a very high level of technical efficiency in a suite of relevant systems and programmes. The focus of the role is on general executive assistant tasks, including diary, relationship and correspondence management, however the role also has the opportunity to go further, having a contributing role into the wider organisation’s goals. The role will also provide co-ordination and key support to our kaimahi, teams, contractors and organisation partners, to ensure the smooth and efficient running of the business and relationships and enable our organisation and people to thrive. This is a people-plus role, where you will also have the opportunity to gain insight and contribute to ongoing project coordination, reporting and work programmes, and bring new ideas and initiatives that enhance our working environment. Our business has a strong and welcoming leadership support team, with good existing technical support, so this role offers more than a regular executive assistant role, with the opportunity to make it your own. For example, this role may suit someone with existing strong EA skills, who wants to expand beyond their present role into project and programme assistance and insight. Opportunities this role offers includes: • Taking the initiative to ensure the smooth running of business management, projects or programmes, in areas such as workflow, operational efficiency, reporting and stakeholder liaison. • Holding a coordination role for monitoring team progress and outcomes, supporting internal team communications and achievements. • Overseeing implementation of new workflow or operational programmes, becoming the ‘subject matter expert’ in areas of responsibility. • Building trusting and strong relationships across the organisation, with managers, team leaders, kaimahi, suppliers, contractors, collaborators and others who interact with our team, Trust or operations. • Monitoring, or directly managing, the day-to-day coordination of executive commitments, hui and internal/external relationships. • Monitoring or assisting with compliance obligations, for business and Trust obligations. • Identifying or coordinating communications needs and opportunities, to meet individual, team, business or organisation needs. • Being a first-point-of-contact for general enquiries and pātai, supporting the Manahautū General Manager and leadership team, to ensure the smooth, welcoming and efficient management of the business and organisation. • Experience working in a pakihi Māori environment, and confidence in kōrero Māori will be highly valued.
