Job Overview
We are seeking a highly organized, proactive, and detail-oriented Operations Coordinator to join our team. The Operations Coordinator will own our end-to-end physical operations, from the moment a purchase order is placed to the second a package arrives at a customer's door. The Operations Coordinator will be the point person for vendor relations, stock level management, and shipping logistics, ensuring our warehouse and office run efficiently.

Operations Coordinator Key Responsibilities:

Purchasing

  • Communicate with vendors in placing purchase orders
  • Receive and inspect deliveries, verifying accuracy against purchase orders.
  • Reconcile shipping invoices with purchase orders and delivery receipts.
  • Identify opportunities for cost savings and process improvements in purchasing within our physical and software systems to ensure the systems are reaching their maximum potential
  • Develop a purchasing plan as projects are initiated

Inventory

  • Develop and manage an inventory in and out process that provides cohesion between Operations and Production
  • Process inventory adjustments on a daily basis
  • Track inventory levels, conduct regular stock counts, and implement inventory control procedures to minimize waste and optimize efficiency.
  • Organize and maintain inventory storage areas, ensuring proper labeling and accessibility.

Office Management

  • Ensure the smooth and efficient operation of the office environment.
  • Assist with the procurement of office supplies, breakroom items, and other essential materials, ensuring adequate stock levels and cost-effectiveness.
  • Oversee the maintenance of office equipment (e.g., printers, copiers, coffee machines) and coordinate repairs as necessary.
  • Handle incoming and outgoing deliveries and packages.
  • Serve as a primary point of contact for external vendors and service providers.
  • Assist with data entry and maintain accurate records.

Operations Coordinator Qualifications:

  • Proven experience as in manufacturing Operations or similar role.
  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Proficiency in inventory management software and systems is required.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with exceptional attention to detail.
  • Ability to prioritize tasks and manage multiple projects simultaneously
  • Proactive and resourceful problem-solver with a strong work ethic.
  • Ability to work independently with minimal supervision and as part of a team.
  • Discretion and ability to handle confidential information.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Ability to lift and move up to 25 pounds daily.
