Key Responsibilities
· Serve as the first point of contact for clients and visitors in the Shelton office.
· Provide a warm, professional welcome and ensure a high-touch experience at every visit.
· Prepare meeting spaces prior to client appointments (room readiness, refreshments, materials as needed).
· Maintain a clean, organized, and client-ready reception and common area environment as well as organizing and light cleaning of our employee areas.
· Schedule client meetings and internal appointments for advisors and team members.
· Coordinate conference room calendars and meeting logistics (in-person and virtual).
· Send confirmations/reminders and support rescheduling to keep calendars accurate and efficient.
· Answer and route incoming calls promptly and professionally.
· Monitor general voicemail/inbox messages and ensure timely follow-up or escalation.
· Maintain a polished, client-first phone experience aligned with Warner Wealth standards.
· Manage office supplies and inventory (office, kitchen, printing); place orders proactively.
· Coordinate office vendors (cleaning, maintenance, deliveries) and help resolve facility issues.
· Oversee incoming/outgoing mail, packages, and shipping needs.
· Support office organization systems (scanning, filing, document organization) as needed.
· Assist with light administrative tasks, data entry, and coordination projects.
· Support special projects that improve office efficiency and elevate the client experience.
