Position Overview
The Escrow Officer manages the complete escrow process from opening to closing, ensuring all contractual obligations between buyers, sellers, and lenders are fulfilled in compliance with federal, state, and local regulations. This role serves as the central point of communication among all parties in the transaction.
Key Responsibilities
Transaction Management
- Open, process, and close real estate escrow transactions per escrow instructions and purchase agreements
- Prepare and review all closing documents including escrow instructions, deeds, closing statements, and settlement documents
- Coordinate and conduct real estate closings in compliance with local, state, and federal law
- Ensure all purchase requirements and contingencies are met before closing
Financial Management
- Receive, hold, and disburse purchase funds in accordance with escrow instructions
- Ensure proper accounting of all funds and verify escrow accounts have sufficient funds
- Process disbursements for title insurance, recording fees, commissions, loan payoffs, and other authorized charges
- Prorate taxes, interest, insurance, and rents as required
- Prepare final settlement statements and escrow balance reports for all parties
Document Preparation & Coordination
- Prepare or secure deeds and other transaction-related documents
- Obtain signatures on all required documents from all parties
- Forward recordable documents to title companies and county recorders
- Request and review preliminary title searches and title reports
- Obtain beneficiary statements and loan payoff demands
Communication & Coordination
- Act as the central liaison between buyers, sellers, agents, lenders, title companies, and attorneys
- Schedule closings and coordinate with all parties
- Provide regular status updates throughout the escrow process
- Respond promptly to inquiries and resolve issues as they arise
Compliance & Risk Management
- Ensure compliance with RESPA, TRID, and all applicable federal, state, and local regulations
- Maintain confidentiality of all client and financial data
- Clear title objections and secure releases of contingencies
- Adhere to company policies and ethical standards
Required Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree preferred
- Minimum 2–3 years of experience in real estate closings, escrow, or title
- Active Indiana title insurance license or eligibility to obtain one
- Proficiency with escrow software and Microsoft Office Suite
- Strong attention to detail and organizational skills
- Ability to manage multiple transactions simultaneously
- Excellent communication and customer service skills
Preferred
- Notary Public commission
- Certified Escrow Officer (CEO) designation
- Title Insurance Certification
Compensation & Work Environment
- $70,000 – $80,000 annually, commensurate with experience
- Full-time, in-person — Indianapolis, Indiana
- Standard business hours with occasional overtime during closing deadlines
