Executive Operations Coordinator

Job Description

ABOUT THIS ROLE

This is not a typical administrative position.

We are looking for a high-performance operator to work directly with the President of Access — removing operational friction, driving execution, and building systems that scale the business.

Access sits at the center of one of the fastest-growing markets in the world: AI infrastructure and data centers. We support the critical systems that power hyperscale computing environments and mission-critical facilities. This role puts you inside that world, working alongside leadership on real business decisions that move the needle.

If you are looking for a predictable, task-based job — this is not it. If you want to take ownership, learn how a business actually runs, and become a critical part of building something great — keep reading.

WHAT YOU WILL ACTUALLY DO

1. Protect Executive Time & Focus

- Own and manage the President's calendar and scheduling

- Gatekeep meetings against business priorities

- Eliminate unnecessary interruptions and distractions

2. Own Inbox & Communication Flow

- Triage and manage executive email

- Draft and send responses aligned to the executive's voice

- Escalate only what truly requires attention

3. Drive Execution Across Priorities

- Track key initiatives, commitments, and deadlines

- Follow up on action items across the organization

- Surface risks, delays, and bottlenecks early

4. Build & Improve Systems

- Document SOPs for repeatable workflows

- Identify inefficiencies and eliminate executive involvement

- Standardize processes to improve speed and consistency

5. Run Meetings That Produce Outcomes

- Prepare agendas and materials

- Capture decisions and action items

- Ensure follow-through happens after every meeting

6. Leverage Tools to Work Smarter

- Use modern tools — including AI where appropriate — to improve speed and organization

- Apply sound judgment to ensure accuracy, confidentiality, and professionalism

- Continuously improve how work gets done

THIS ROLE IS — AND IS NOT

This role IS:

- A high-trust operator position

- A force multiplier for the President

- Focused on execution, clarity, and leverage

- Built for someone who wants to grow fast

This role is NOT:

- A traditional administrative assistant

- A project manager owning departmental work

- A general helper for the broader organization

- A static, task-based position

WHO YOU ARE

Extreme Ownership — You take initiative without being asked. You do not wait for direction. You create it.

Highly Organized — You create order out of chaos. Systems, structure, and clarity come naturally to you.

Fast + Accurate — You move quickly without missing details. Speed and precision are not opposites for you.

Strong Judgment — You know when to act and when to escalate. You are not afraid to make the call.

Discreet & Trustworthy — Sensitive information is safe with you. Confidentiality is non-negotiable.

Relentless Follow-Through — Things do not fall through the cracks on your watch. Ever.

WHAT SUCCESS LOOKS LIKE

- The President is no longer in the weeds

- Email and calendar are fully controlled and organized

- Priorities move forward without being chased

- Every meeting results in clear decisions and next steps

- Work becomes more structured and efficient over time

- Needs are anticipated — not reacted to

GROWTH & ADVANCEMENT

This role is designed for someone who wants to grow beyond the title.

As you demonstrate ownership, judgment, and the ability to take work off the executive's plate, both responsibility and compensation will increase accordingly.

You will gain direct exposure to:

- Business operations and decision-making

- Systems and workflow design

- A rapidly evolving AI and data center market

Over time, this role can evolve into a broader Business Operations position with expanded ownership in process development, systems implementation, and execution across key areas of the business.

This is not a static role. It is designed for someone who wants to earn more, own more, and become a critical part of building something great.
