Position Description: Office Administrator

$27.00/hour starting wage plus benefits.

(with potential increase after successful probation/training period)

We are a small office, and thus this position entails a broad range of tasks that, in a larger office, might be performed by several people, such as a receptionist, an administrative assistant, and a bookkeeper.

Job Duties

Physical filing systems:

· Create, organize, and track client files in the office;

· Close files and move closed files to storage;

· Break down and destroy closed files when authorized.

Electronic filing systems:

· E-file and retrieve documents in federal and state electronic filing systems;

· Assist in transitioning physical files from paper to digital storage.

Secretarial duties:

· Typing letters, summaries, and similar items at the direction of attorneys and paralegals in Microsoft Word, Excel, and similar applications.

· Working with Canon copier and scanner.

· Assist as needed with clerical aspect of legal projects, such as making binders with copies of exhibits;

· Make travel arrangements for the attorneys, order food for meetings, and similar tasks.

Bookkeeping:

· Record obligations and pay bills in QuickBooks;

· Record income in QuickBooks and make bank deposits;

· Assemble client invoices and statements in QuickBooks and transmit to clients;

· Work with outside accountants to maintain payroll and create and assemble records for tax returns.

Office Management:

· Review and maintain office supplies;

· Liaise with vendors when necessary;

· Retrieve and send out mail;

· Maintain on-site postage meter;

· Keep break room clean, neat, and stocked.

Customer Service:

· Answer phone and assist callers;

· Greet clients in waiting room,

· Maintain confidentiality of privileged attorney-client information.

Skills

  • Highly organized, eager to learn new skills, willing to complete a wide variety of tasks in a small law office, from the mundane to the unique and challenging, and the ability to multi-task.
  • Ability to remain kind, even-tempered, and personable (especially when dealing with difficult or unpleasant people on the phone).
  • Proficiency in computer skills (Microsoft Word, Excel, QuickBooks, etc.)
  • Ability to maintain confidential information (both clients’ privileged information and office information).
  • Resourceful, exhibiting a can-do, problem-solving approach to work.

Pay: From $27.00 per hour
