Job Summary/Basic Function

Job Summary:
The Program Assistant, Agriculture & Natural Resources (ANR) will report to the ANR Program Leader with primary responsibility of tasks associated with the program area. The secondary responsibility is tasks associated with support for programming for the ANR team. The key role of the position is to provide the Program Leader with programming assistance, which includes helping in program recruitment efforts, developing and maintaining registration databases, assisting with procurement of supplies, and other Extension-related assistance, as directed by the Program Leader. This position requires close attention to detail, the ability to handle multiple tasks, work independently, and a readiness to communicate effectively with diverse groups of people. Periodic travel among the Extension Regions will be required.

Essential Duties and Responsibilities
  • Assist the program implementation team by providing general administrative support including, but not limited to, data entry, managing registration resources, tracking assets, ordering supplies, coordinating shipments, etc.
  • Assist in the preparation of program materials, handouts, binders, information packets, etc.
  • Assist in external grant implementation by providing general administrative support including, but not limited to, entering data, managing registration resources, tracking assets, ordering supplies, coordinating shipments, etc.
  • Assist with developing and promoting programmatic calendar of events for publication on website, social media outlets, and newsletters
  • Maintain and manage inventory of office supplies, and equipment for assigned program area and region
  • Assist Program Leader with calendar management and coordination of meetings with staff and stakeholders.
  • Assist in the preparation of administrative documents on behalf of the Program Leader, including but not limited to request for travel (RFT), expense and reconciliation reports, requisition requests, and grant reporting documents
  • Assist Program Leader with the communication and flow of information between the campus stakeholders and external agencies
  • Aid in management of regional facilities including storage and hubs
  • Assist Land-Grant communication and UPR in publicizing regional and programmatic activities.
  • Provide administrative support for fleet vehicles for assigned program area
  • Maintain accurate program participants' database including program volunteers and project-related documentation
  • Itemize and prepare materials for archiving
  • Coordinate and/or assist with special events, camps, advisory meetings etc.
  • Other duties as assigned

Minimum Qualifications

  • High school diploma or equivalent
  • Knowledge and experience in handling files and data.
  • Knowledge of Land-Grant universities and Extension services.
  • Demonstrated skills in the use of computers, including internet, word processing, graphic design, spreadsheets and database management programs.
  • Excellent written and oral communication skills in English.
  • Demonstrated ability to effectively manage competing priorities.
  • Ability to prioritize and to multi-task in a fast-paced environment.
  • Ability to handle confidential information in a discreet and professional manner.
  • Ability to plan and maintain a flexible work schedule, including evening and weekend work to meet time demands and/or special needs of program management.
  • A valid driver's license, reliable vehicle with required liability insurance, to be utilized for frequent travel.

Preferred Qualifications

  • Bachelor's Degree
  • At least 3 years of experience in program development and/or education and outreach
  • Project management
  • Event planning and execution

Budgeted Annual Salary

Commensurate with experience
