We are a dynamic, fast-paced event company specializing in corporate events, weddings, social events, mitzvahs, and much more. From intimate gatherings to large scale productions, we bring vision to life- and we need a sharp, motivated Administrative Assistant to be the backbone of our office.
The Role
This is a Part Time position with some weekend availability required, as events don’t always happen Monday through Friday. You’ll be the heartbeat of our office- the first voice a client hears, the last detail that gets checked, and everything in between. We are willing to train the right candidate in the specifics of the event industry.
What You’ll Do
- Serve as the primary point of contact for the office- answering phones, responding to inquiries, and representing the company professionalism
- Draft, prepare, and manage client contracts and event agreements
- Support sales efforts by following up with leads, presenting service offerings, and helping convert inquiries into bookings
- Type, format, and proofread a variety of documents including proposals, invoices, and correspondence
- Assist in coordinating event logistics- vendors, timelines, venue communication, and client needs
- Be on-site for event execution as needed, ensuring everything runs smoothly
- Maintain organized filing systems, calendars, and client records
- Provide general administrative support to the team
What We Are Looking For
- Prior experience in an office setting is required- you know how a professional environment operates and can hit the ground running
- Strong written and verbal communication skills
- Comfortable working with phones, email, and client-facing interaction
- Organized, detail-oriented, and able to juggle multiple priorities
- A self-starter who takes initiative without waiting to be told what to do
- Proficiency in Google Workspace
- Flexible availability, including weekends
- A genuine enthusiasm for events and creating memorable experiences
- Experience in the event industry is a plus but not required- we will train you
