Novastar Kids Co provides private educational service to children ages six weeks to fourteen years. The service includes child care, preschool, kindergarten, elementary through secondary education, summer camps, special events, enrichment classes, and after-school program. About the Role:

Join Novastar Kids Co as our Business Manager and become the operational backbone of our growing childcare organization! We are looking for a detail-oriented professional who thrives in a fast-paced environment and is passionate about supporting early childhood education. In this key role, you will oversee daily business operations, manage bookkeeping functions, process CCAP (Colorado Child Care Assistance Program) submissions, and provide essential administrative support. You'll work closely with leadership, staff, families, and vendors to ensure smooth financial and operational processes across our centers.

Financial Management & Bookkeeping:

  • Manage accounts receivable including tuition billing, payment verification, and collections through Procare and Tuition Express.
  • Process and reconcile daily financial transactions and maintain accurate financial records.
  • Partner with accounting team on check processing, receipt documentation, and financial reporting.
  • Communicate with families regarding tuition payments, account balances, and payment arrangements.
  • Conduct regular audits and reconciliations to ensure financial accuracy and compliance.

CCAP & Program Administration:

  • Process CCAP (Colorado Child Care Assistance Program) submissions, including manual claims and payment verification.
  • Manage UPK (Universal Preschool) program administration and attendance confirmation.
  • Oversee Food Program compliance including attending required meetings and verifying student enrollment.
  • Maintain accurate documentation and records for all subsidy and assistance programs.
  • Liaise with government agencies to ensure program compliance and timely submissions.

Business Operations & Vendor Management:

  • Manage daily business operations including purchasing, vendor communications, and invoice processing.
  • Coordinate with cleaning crews, maintenance personnel, and contractors for building repairs and upkeep.
  • Assist leadership with creating and maintaining business-related documents including asset inventories and insurance records.
  • Manage relationships with external agencies including fire department and licensing authorities.

Administrative Support:

  • Support enrollment processes including managing waiting lists, preparing enrollment folders, and entering family information into Procare.
  • Conduct facility tours and respond to prospective family inquiries via phone, email, and text.
  • Maintain and update children's document records including immunizations and health appraisals.
  • Assist teachers, students, and families with daily needs and requests.
  • Maintain organized front desk operations and ensure the facility presents a welcoming environment.

Requirements:

  • Associate's degree in Business Administration, Accounting, or related field; Bachelor's degree preferred.
  • 2+ years of experience in bookkeeping, business administration, or office management.
  • Experience with CCAP, CCCAP, or similar childcare subsidy programs strongly preferred.
  • Proficiency in childcare management software (ProCare & Brightwheel experience a plus).
  • Strong knowledge of accounts receivable/payable processes and financial record-keeping.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Excellent organizational skills with strong attention to detail.
  • Strong communication and interpersonal skills for working with families, staff, and vendors.
  • Ability to maintain confidentiality of sensitive financial and family information.
  • Bilingual (English/Spanish) highly preferred.
  • Positive attitude and passion for supporting early childhood education.
  • Criminal background check and fingerprinting required for hire.

Pay: From $23.00 per hour

Expected hours: No more than 40.0 per week
