Client Care Coordinator/Receptionist

ABOUT THE ROLE

Quad City Psychotherapy is looking for a reliable, warm, and organized Client Care Coordinator to serve as the first point of contact for our clients. This role is central to creating a welcoming, professional environment and ensuring smooth day-to-day operations at the front desk.

The ideal candidate is detail-oriented, comfortable handling administrative tasks, and committed to providing excellent client service in a mental health setting. You will report directly to the Chief Operating Officer.

Schedule: Monday – Friday, 8:00 AM – 4:30 PM

Location: In-person, Davenport, IA

Reports To: Chief Operating Officer

KEY RESPONSIBILITIES

Front Desk & Client Interaction

  • Greet clients and visitors in a professional and welcoming manner
  • Answer incoming phone calls and respond to inquiries
  • Provide general information about services and direct calls appropriately

Scheduling & Coordination

  • Schedule, reschedule, and confirm client appointments
  • Maintain accurate and up-to-date scheduling records
  • Coordinate with clinicians to ensure efficient appointment flow

Billing & Payments

  • Collect client payments including copays and outstanding balances
  • Process transactions accurately and securely
  • Assist with billing-related questions and direct to appropriate staff as needed

Administrative Support

  • Prepare, mail, and send client statements
  • Maintain organized records and documentation
  • Support general office operations and workflow

QUALIFICATIONS

  • High school diploma or equivalent required
  • Prior experience in administrative, receptionist, or customer service roles preferred
  • Strong written and verbal communication and interpersonal skills
  • Ability to handle sensitive information with confidentiality and professionalism
  • Basic computer proficiency including scheduling systems, email, and payment processing
  • Strong organizational skills and attention to detail

Preferred Qualifications

  • Experience in a healthcare or mental health setting
  • Familiarity with electronic health records (EHR) systems
  • Experience handling billing or payment collection

COMPENSATION & BENEFITS

  • $20.00 per hour

WORK ENVIRONMENT

This is an in-person position based at a professional outpatient mental health office. The role involves a fast-paced, client-centered environment with frequent interaction with clients and staff. The position requires sitting for extended periods throughout the workday.
