Position Announcement Utah Tech University seeks a part-time Automation Support Assistant to support operational improvement efforts within IT Support Services. This position assists with forms and workflow automation, documentation, training, and end-user support, while also helping evaluate and apply AI tools and AI-assisted methods that improve efficiency, service delivery, communication, and internal processes across IT and the university.
The successful candidate will be adaptable, detail-oriented, and effective in both technical and user-facing work. Prior experience with a specific forms or workflow platform is not required. Training will be provided.
Responsibilities - Assist with the development, maintenance, testing, and support of forms and workflow automations
- Learn university business processes and help translate operational needs into effective workflow solutions
- Identify opportunities to simplify, standardize, and improve existing processes and workflows
- Assist with troubleshooting issues related to forms, approvals, and workflow steps
- Explore, evaluate, and compare AI tools and AI-assisted methods for practical use in IT operations and university processes
- Support the use of AI for activities such as documentation, communication, analysis, troubleshooting, drafting, and process improvement
- Review and validate AI-generated content before operational use or distribution
- Document findings, recommendations, and effective practices related to AI-enabled work
- Create and maintain user guides, knowledge base articles, process documentation, and training materials
- Provide support to end users with questions related to forms, workflows, and assigned systems or tools
- Assist with training and outreach efforts that help employees make effective use of existing and newly introduced tools, processes, and resources
- Help employees better leverage current systems, approved solutions, and established workflows to improve efficiency and effectiveness
- Support pilots, demonstrations, and small-scale evaluations of emerging technologies and solutions
Qualifications Minimum Qualifications - High school diploma or equivalent
- Demonstrated ability to learn new systems, software, and technical processes quickly
- Experience using AI tools such as ChatGPT, Copilot, Claude, Gemini, or similar platforms for writing, research, analysis, coding, project work, or problem solving
- Strong written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to explain technical or process-related information clearly and professionally
- Ability to work independently and manage assigned responsibilities effectively
Preferred Qualifications - College coursework, current enrollment, or other relevant experience in information technology, business, communication, or a related field
- Interest in automation, process improvement, AI tools, workflow systems, or user support
- Experience developing documentation, guides, or training materials
- Experience with forms platforms, workflow tools, spreadsheets, no-code or low-code systems, or similar technologies
- Experience assisting others in learning a process, system, or technical tool
- Experience in higher education, customer service, or IT support
Knowledge, Skills, and Abilities - Strong problem-solving and analytical skills
- Ability to learn quickly and apply feedback effectively
- Ability to balance technical responsibilities with customer-focused support
- Ability to assess AI-generated information for accuracy, usefulness, and appropriateness
