Position Summary
R and M Van Beek, LLC is a growing, family-led business built on over 40 years of experience in agriculture, natural science, and resource development. With a long-term vision to support agriculture, responsibly develop natural resources, and expand into housing and community-based investments, we are building for the future. We are seeking a highly organized, technically skilled, and dependable professional to join our small team working at the command central of operations in Orange City. This role supports daily office operations, customer service, data management, and light bookkeeping functions and is ideal for someone who values stability, growth, and meaningful work tied to real assets and communities.
Key Responsibilities
1. Office Administration and Operations
a) Manage daily office activities and maintain organized administrative and data systems
b) Coordinate schedules, meetings, and appointments for leadership
c) Maintain office supplies and vendor relationships
d) Support internal communication, workflow coordination, and data tracking
2. Customer Service
a) Answer and direct incoming phone calls in a professional manner
b) Respond to customer inquiries via phone and email
c) Assist with order processing, customer follow-up, and issue resolution
d) Maintain accurate customer records and communication logs
3. Bookkeeping and Financial Support
a) Perform light Accounts Payable (AP) and Accounts Receivable (AR) functions
b) Enter, manage, and maintain financial and operational data in QuickBooks (chatgpt://generic-entity?number=0)
c) Assist with invoicing, payment tracking, and basic reconciliations
d) Support month-end close preparation and documentation
4. Data Management and Technical Support
a) Maintain accurate digital records across office and financial systems
b) Support data entry, reporting, and basic analysis for operations and leadership
c) Ensure consistency and accuracy between systems and records
d) Assist with process improvements using technology and software tools
Qualifications
1. Education and Experience
a) Associate or Bachelor’s degree in Business, Accounting, or related field preferred
b) Minimum 2–5 years of experience in office management, customer service, bookkeeping, or data management
c) Experience with QuickBooks (chatgpt://generic-entity?number=1) or willingness to be trained
2. Skills and Competencies
a) Strong organizational and time management skills
b) High level of attention to detail and accuracy
c) Strong technical aptitude and ability to manage data systems
d) Professional communication skills (written and verbal)
