Position Summary & Responsibilities:
Position Summary: This position provides clerical support to the Classification and Records area, as well as administrative relief for filing, report generation, statistical tracking and employee timekeeping.
Job Responsibilities may include but are not limited to the following:
Coordinates release verification for residents, including contacting law enforcement to confirm warrants and arrange custody when needed. Monitors and updates residents in the Larned State Hospital Sex Predator Unit, maintaining communication with Central Office and hospital staff. Handles notifications for emergencies or unplanned transfers/releases. Manages court-related processes, including extradition hearings, schedules Zoom hearings, and notifies case managers.
Supervises, assigns, reviews, and evaluates staff performance, ensuring work is completed accurately and on time. Trains and cross-trains Classification and Records staff. Provides counseling when needed and applies progressive discipline as appropriate. Manages time and leave records, including tracking vacation, sick leave, and other requests.
Compiles monthly Environmental and Resident Idleness Reports. Ensures KBI, FBI, and Social Security data are accurately entered in Athena. Review private industry residents that are classified as a KBI/Kansas Offender to ensure they are properly entered in the KBI Kansas Offender Registration database. Compare the KBI Kansas Offender Registration database to our local database to ensure it is accurate and makes corrections as necessary.
Requires expertise in good time application and sentence computation. Monitors the loss and restoration of good time.
Enters all detainers into Athena, the KDOC database, and completes associated forms. Requests warrant inquiries for residents within 6 and 16 months of release. Ensure PRB minutes are signed when applicable. Upon request from resident, process Uniform Mandatory Disposition of Detainers.
Maintains up-to-date knowledge of Kansas statutes, sentencing laws, Kansas Department of Corrections Rules and Regulations and Kansas Administrative Regulations. Reviews and communicates updates to staff. Consistently review and disseminate changes to staff. Ensure Classification folders and files are accurate, organized, and current.
Image and electronically file resident hard copy records. Perform related duties as assigned by the supervisor.
Qualifications:
Licensing & Certification : Must have a valid driver's license and provide a copy.
Minimum Preferred Qualifications Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
