Accounting and Administrative Assistant (1 year minimum experience)

Position Background

The Accounting Assistant (AA) serves as a support staff member for general accounting and administrative functions. The AA is responsible for assisting with day-to-day financial operations, including processing invoices, maintaining accurate financial records, and supporting accounts payable and receivable activities. This role also involves assisting with answering the general phone line, directing inquiries appropriately, and providing basic customer service related to billing or account questions.

Job Duties & Responsibilities

Accounting

  • Process accounts payable and accounts receivable transactions
  • Prepare and enter invoices, expense reports, and payments
  • Maintain accurate and organized financial files and documentation
  • Respond to vendor and customer inquiries regarding billing and payments
  • Perform data entry and update accounting systems
  • Assist with audits and ensure compliance with company policies and procedures

Office Administration

  • Must be physically present in our Northville based office 3 days a week, 8 am - 4 pm M, W and F (at minimum) open to adding T & Th and extending hours. Open to full time work.
  • Serve as the primary staff person answering all phone calls into the office, taking/forwarding messages, directing calls to the appropriate support staff.
  • Assist with general administrative tasks including, but not limited to: filing [physically and digitally], retrieving mail and packages, opening mail, and supporting office staff.
  • Manage walk‐in inquiries and greeting guests/customers with warm, helpful demeanor
  • Keep account of office supplies and replenish as necessary.
  • Maintain office tidiness – straightening, tidying, emptying recycling/garbage, etc.
  • Be familiar with and follow all policies, procedures and guidelines as standardized by MA.

General

  • Join in team building and social events and activities.
  • Participate in program related training as needed or as determined necessary.
  • Provide additional support to other MA staff as appropriate.
  • Other duties as assigned.

Qualifications

Required

  • Basic accounting knowledge: understanding of debits/credits, invoices, and financial records
  • Data entry skills: ability to input information quickly and accurately
  • Organization: keeping financial documents and records well-structured
  • Time management - handling multiple tasks and meeting deadlines
  • Proficiency in Microsoft Excel and Google Suite working with spreadsheets, formulas, and data tracking
  • Familiarity with accounting software (e.g., Sage 100, QuickBooks, SAP, or similar systems)
  • Problem-solving skills – identifying and resolving discrepancies
  • Skilled communicator, with good interpersonal, verbal and written skills.
  • Able to handle confidential information and maintain high confidentiality.
  • Effective phone skills and excellent active listening skills.
  • Ability to communicate, interact with, and treat all staff and clients with respect and kindness.
  • Ability to work cross‐functionally with all MA staff [both in Michigan/Florida and out of state]
  • Ability to work under and comply with continuous and multiple deadlines and evolving priorities
  • Commitment to the company, attention to detail, highly efficient and conscientious about thorough follow‐up.
  • Must be able to work independently
  • Flexibility to take on new administrative tasks as they come up.
  • Willingness to work in a physical office environment 3 - 5 days per week.

Physical Requirements

Office work will include extended periods of time sitting while using a desktop computer. Some physical lifting is required (up to 30 lbs.). Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work Environment

This position is primarily an office position. A medium sized office staffed with up to 12 - 14 employees at any given time. Casual dress code. Ability to speak, hear and listen in English required.
