UFM Community Learning Center an After-School Program Coordinator

UFM Community Learning Center is hiring! UFM Community Learning Center is a creative educational program serving Kansas State University, Manhattan, and communities across Kansas. UFM offers a variety of community enrichment classes for all ages and interests. Based on the philosophy that everyone can learn and everyone can teach, UFM provides opportunities for lifelong learning and personal development. Our programs serve over 10,000 participants annually and cover a wide range of topics, including arts and hobbies, cooking, languages and culture, martial arts, recreation and fitness, health and wellness, professional development, and more.

UFM serves as a forum for the exchange of ideas and as a catalyst for new programs and services that enhance the quality of life for all. In addition to the community enrichment classes, UFM also coordinates/sponsors several community service programs for all ages and interests. Those programs included a Veteran Wellness Program, Project EXCELL, Lifetime Learning for adults 50+, the Manhattan Community Gardens, Teen Mentoring Program, the Lou Douglas Lecture Series on Public Issues, Manhattan Area Risk Prevention Coalition (MARPC), and other programs.

Position Summary

UFM Community Learning Center is seeking a versatile and dependable Student Program Assistant to support both Project EXCELL and UFM’s HR/Finance and office operations. This position plays a key role in delivering high-quality community programming while ensuring efficient administrative support.

The Student Program Assistant will assist with the coordination and implementation of Project EXCELL, a Saturday morning enrichment program for adults with developmental and intellectual disabilities, while also supporting HR, finance tracking, and general office operations. This position reports to the UFM Executive Director and works closely with the Registrar/Operations Coordinator.

Schedule & Hours

  • 10–15 hours per week (flexible based on semester needs)
  • Project EXCELL:
  • Saturdays, 8:30 AM – 11:30 PM
  • Approximately 10 Saturdays in Fall and 10 Saturdays in Spring
  • Office Hours:
  • Scheduled between 8:30 AM – 5:00 PM, Monday–Friday
  • Occasional evening, weekend, or summer hours as needed

Position Responsibilities

Project EXCELL Program Support

Overview

The Student Program Assistant supports the program coordination of Project EXCELL, an enrichment program for adults with intellectual and developmental disabilities. This person organizes classes, works with the campus and community partners to enlist help from instructors and student volunteers. This person works with the HR/Finance Coordinator for accounting of fees collected, donations received and grants that may be written and received.

Project EXCELL includes two 5-week sessions each semester, fall and spring, for a total of approximately 20 classes per year. Dates are determined by the Student Program Assistant, Executive Director and UFM Community Learning Center with consideration of space availability at the K-State Student Union. Program participants enroll in one class each session. Classes meet on Saturday mornings, generally at the K-State Student Union from 9:00 – 11:30 am. Class schedule is as follows: Class 9:00-10:00 am; Break 10-10:30 am; Class 10:30-11:30 am. Class sizes generally run between 10 and 15 students. KSU students volunteer to support the instructional staff.

Class topics typically focus on the arts and humanities, health and wellness, job skills, social interaction, academic enrichment, and independent living skills. Instructors are recruited each semester by the Student Program Assistant and Executive Director.

  • Assist with on and off-site coordination and implementation of Saturday classes at the K-State Student Union
  • Support participant check-in, attendance tracking, and classroom transitions
  • Help prepare materials, supplies, snacks, and classroom spaces
  • Assist instructors and student volunteers during classes
  • Support communication with participants, families, instructors, and volunteers
  • Help maintain enrollment records, class rosters, and registration tracking
  • Take photos and assist with program documentation and outreach
  • Support graduation event planning, setup, and execution
  • Ensure a welcoming and safe environment for all participants with intellectual and developmental disabilities
  • Understand UFM risk management protocol including reporting guidelines and incident reports
  • Support fundraising, grant writing efforts, as well as annual reporting in collaboration with the Executive Director
  • Support publicity, student, and community relations in collaboration with the Executive Director and other duties as assigned

HR & Finance Support

  • Assist with tracking program payments, registrations, and financial documentation
  • Support data entry and general journaling related to enrollment, payments, and reporting
  • Assist with organizing receipts, deposits, and basic financial processes
  • Provide administrative support for HR-related tasks (hiring paperwork, job descriptions, tracking hours, filing, office organization, staff coordination, onboarding staff and other duties as assigned)
  • Maintain organized and confidential records
  • Support grant tracking and reporting as needed
  • Contact returning instructors and send out invoices when needed

General Office & Program Support

  • Provide customer service via phone, email, and in-person interactions
  • Assist with student registration and enrollment using UFM systems (Student Manager)
  • Support communication with instructors, host sites, and community partners
  • Assist with mailings, copies, and office organization
  • Assist with cleanliness and organization of the UFM buildings and grounds
  • Help set up classrooms and events
  • Send class reminders, evaluations, and program communications
  • Support UFM events, outreach, and special projects
  • Represent UFM professionally in the community

Qualifications

  • Must be a Kansas State University student enrolled in at least 6 credit hours
  • Strong communication, organization, and customer service skills
  • Ability to manage multiple tasks and prioritize effectively
  • Dependable, detail-oriented, and professional
  • Comfortable working with all community members, including adults with developmental disabilities
  • Ability to work both independently and as part of a team
  • Basic computer and administrative skills

Preferred Qualifications

  • Experience in nonprofit, education, or community programming
  • Interest in HR, finance, or nonprofit administration
  • Experience with data entry or database systems
  • CPR/First Aid certification (or willingness to obtain)
  • Experience working with all community members
