$18–$22/hour
Monday–Friday, 9:00 AM – 6:00 PM
We are a fast-paced construction and insurance restoration company looking for a sharp, organized, and dependable person to run day-to-day office operations.
This is not a slow or passive role. You will be handling calls, scheduling, customer communication, permits, and keeping everything moving.
If you need constant direction or prefer a quiet, low-pressure job, this is not the right fit.
Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle inquiries efficiently and route calls accurately.
- Maintain organized filing digital systems, including data entry, document proofreading, and record keeping. (CRM)
- Utilize computer skills in Microsoft Office (Word, Excel, Outlook) to prepare reports, correspondence, and presentations.
- Oversee calendar management for team schedules, appointments, meetings, and deadlines using digital tools.
- Provide customer support by addressing inquiries promptly and professionally via phone or email.
- Coordinate administrative projects including proofreading documents, managing mail distribution, and supporting event planning.
- Handle clerical tasks such as typing correspondence, preparing reports, and managing confidential information with discretion.
- Apply for permits and track approvals
- Support team to keep jobs moving
What we are looking for..
- Proven office experience or administrative support background demonstrating strong organizational skills.
- Familiarity with office management systems and software including Microsoft Office (Word, Excel).
- Previous experience in customer service roles emphasizing excellent phone etiquette and interpersonal skills.
- Bilingual (English/Spanish) abilities are preferred to effectively communicate with diverse clients and team members.
- Experience in construction and/or insurance is a plus but not required; relevant personal assistant or clerical experience is also beneficial.
- Strong data entry skills with high accuracy; ability to proofread documents meticulously.
- Demonstrated ability to manage multiple priorities efficiently while maintaining professionalism under pressure.
- Knowledge of time management techniques to optimize workflow and meet deadlines consistently.
- Must be able to commute daily to Elgin, IL
