Overview

About Client Operations

The Client Operations Department drives client-specific operational excellence across all agency practice areas, including Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance.

We centralize and standardize foundational workflows across all lines of business, bringing together thorough, tactical workstreams to create smarter, faster, and more efficient ways of working. Our team is built for highly organized problem-solvers and plays a critical role in differentiating Collective while providing a strong operational foundation for the agency.

Role Overview

The VP, Client Operations is a practitioner-leader responsible for driving day-to-day operational excellence across a portfolio of client accounts. This role partners closely with the SVP/Director to lead key operational verticals-Budgets & Compliance, Vendor Management, and Tools & Systems-while ensuring seamless execution across teams.

The VP plays a critical role in translating strategy into action, overseeing workflows, optimizing processes, and ensuring accuracy across all operational and financial systems. This individual is both a strategic thinker and a hands-on problem solver, comfortable operating in the details while influencing broader team outcomes.

Responsibilities

  • Operational Leadership & Execution

  • Oversee daily operations across client accounts, ensuring accuracy, timeliness, and consistency

  • Manage workflows across planning, buying, billing, and reporting systems (Mediaocean, Prisma, MediaTools)

  • Ensure operational processes are completed in alignment with client and agency standards

  • Team Leadership & Development

  • Manage and mentor a team, fostering a culture of accountability, collaboration, and continuous improvement

  • Provide coaching, training, and clear direction to support career growth and skill development

  • Assist in resource allocation and workload management across accounts

  • Financial Management & Compliance

  • Oversee system setups, buy authorizations, and billing processes to ensure accuracy and compliance

  • Monitor budgets, track financial reporting (planned vs. purchased, ordered vs. approved), and resolve discrepancies

  • Support internal and external audit processes and ensure adherence to client-specific requirements

  • Process Improvement & Systems Optimization

  • Identify inefficiencies and implement process improvements to enhance team productivity and accuracy

  • Partner with cross-functional teams to streamline workflows and improve system utilization

  • Support system enhancements, testing, and adoption of protocols

  • Cross-Functional Collaboration

  • Partner with Strategy, Investment, Analytics, Finance, and HR teams on client-specific needs

  • Act as a key point of contact for operational questions and issue resolution

  • Build strong relationships across teams to ensure alignment and seamless execution

Qualifications

Ideal Candidate Profile

  • 8-10+ years of agency experience, with a focus on operations or media finance

  • Strong expertise in Mediaocean, Prisma, and/or MediaTools

  • Advanced Excel skills (pivot tables, vlookups) and strong analytical capabilities

  • Proven ability to manage multiple workstreams in a fast-paced environment

  • Meticulous with a strong focus on accuracy and process rigor

  • Effective communicator with the ability to translate data into actionable insights

  • A collaborative leader who is equally comfortable coaching teams and delivering work

Compensation Range: $149,340 - $239,148 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
