Duties and Responsibilities:
- Provides professional administrative support and serves as an essential member and trusted advisor to the Principal Investigators (PIs) in the College of Social Sciences' (CSS) Social Science Research Institute (SSRI).
- Facilitates and manages the operations and workflow of assigned projects. Ensures compliance with policies and procedures.
- Collaborates with related constituencies to establish and meet goals for SSRI projects.
- Liaises with internal and external constituencies, including but not limited to University of Hawai`i (UH) units and offices, State of Hawai`i units, community groups, and funding agencies.
- Keeps the CSS Deans apprised on the status of the projects in SSRI and its endeavors.
- Tracks risks, issues, progress of aspects of ongoing projects. Prepares responses as appropriate.
- Conducts research on related matters and drafts papers, responses, and reports as needed.
- Coordinates submission for requests, responses, and reports, and other required documentation for internal/external groups. Reviews for accuracy and completeness of each submission, recommends any appropriate action, and monitors its status through completion.
- Develops new procedures and reviews procedure recommendations for SSRI administrative operations. Ensures appropriate dissemination.
- Serves as primary organizer for the project conferences, mid-year reviews and other similar events. Coordinates with vendors and subcontractors, as well as UH, State of Hawai'i, project partner, and other stakeholder participants.
- Keeps abreast of changes in applicable policies, procedures, laws, rules, and regulations.
- Develops and maintains positive working relationships between the SSRI research units, campus and system offices and State of Hawai'i partners.
- Works outside of the normal working hours, including evening, weekends, and holidays, as needed and directed. Travels to various off-campus sites and/or geographical locations.

Minimum Qualifications:
- Possession of a baccalaureate degree in Education, Business Administration, Arts and Sciences or related field and 3 year(s) of progressively responsible professional experience with responsibilities for project/program management, business administration, and/or operations coordination; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Considerable working knowledge of principles, practices and techniques in the area of project/program management, business administration and/or operations coordination as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with project/program management, business administration, and/or operations coordination.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software and spreadsheet software.
- For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
- Demonstrated ability to manage sensitive information and files containing confidential information.
- Demonstrated ability to prioritize and organize workload and meet deadlines.
- Ability to follow oral and written instructions.
Desirable Qualifications- Experience and working knowledge of policies and procedures, administrative rules and regulations in an academic/research institution.
- Experience with or working knowledge of UHM's academic and research programs and support services.
- Knowledge of Memorandum of Agreements (MOA) and various other types of contracts and agreements as it pertains to government or higher education.
- Understanding of the State of Hawaii legislative process and structure.
- Experience working with State of Hawaii agencies.
- Understanding of the State of Hawaii procurement process.
