Land Use Assistant

Job Description

Administrative Support

  • Provide front-line customer service (in-person, phone, and email) for residents, contractors, and developers
  • Maintain department records, files, and databases (permits, applications, inspections, etc.)
  • Prepare correspondence, reports, and meeting materials
  • Process incoming/outgoing mail and departmental documents
  • Process incoming payments for permits and applications of cash, checks, and credit cards
  • Daily reconciliations and preparing weekly deposit for Finance Administrator

Permitting & Applications

  • Accept and review building permits and land use application submissions for completeness
  • Issue permits as directed by the Building Inspector or Planning staff
  • Track application status and maintain accurate logs
  • Assist applicants with forms, requirements, and deadlines

Board & Meeting Support

  • Assist with scheduling and preparing agendas for Planning Board, Zoning Board, and other related boards/committees
  • Prepare meeting packets and post public notices and agendas in accordance with state law
  • Record and transcribe meeting minutes for Planning Board and Technical Review Committee

Inspection Coordination

  • Schedule building and code enforcement inspections
  • Maintain inspection calendars and follow-up records
  • Communicate inspections results with staff and applicants

Records & Compliance

  • Maintain public records in accordance with the New Hampshire Right-to-Know laws
  • Assist with document retention and archiving
  • Ensure permit, planning, zoning, and excavation files are complete and organized

What We’re Looking For:

  • Data entry, Microsoft Office, Trello, and Google Suite
  • Office Administration, money handling, data management, and filing systems.
  • Customer Service
  • Ability to multi-task, meet deadlines, and utilize judgment to prioritize and work independently.
  • Strong communication skills
  • Ability to pass a Background Check

Starting Pay: $20.00 - $22.00 per hour dependent upon experience

Hours: Monday – Friday 8am – 5pm
