About the Role

We are a small, fast-moving company looking for an Operations Coordinator to work directly with our Managing Director and help keep the business running smoothly. This is a hands-on, cross-functional role that touches marketing, sales, finance, HR, and day-to-day operations.

Early on, you will be focused on executing assigned tasks accurately and on time and producing reliable reporting across functional areas. As you build knowledge of the business and demonstrate good judgment, the expectation is that you grow into a true strategic partner: identifying opportunities, owning processes end-to-end, and contributing to decisions that move the business forward.

This role is well-suited for someone who is organized, curious, and wants to grow with a company. You will have direct visibility into leadership and real ownership of your work.

Core Responsibilities

The Operations Coordinator will be generally responsible for interfacing with each business area on a weekly basis, coordinating, assigning and monitoring work. The Operations Coordinator will then report back to the Managing Director with updates, status reports, and any relevant blockers.

General Business Operations

  • Serve as a reliable point of execution for cross-functional projects and one-off initiatives as directed by the Managing Director
  • Identify and flag process gaps, inefficiencies, or risks as they arise
  • Maintain operational documentation, SOPs, and internal systems
  • Over time: move into an “Integrator” role, take ownership of operational planning, lead process improvement initiatives, and act as a thought partner to leadership

Accounting & Finance

  • Coordinate with the finance team to learn the financials of the business
  • Understand and monitor Accounts Payable and Receivable
  • Maintain organized records and ensure documentation is accurate and accessible
  • Over time: develop fluency in the company’s financial health and contribute to budgeting and forecasting discussions

Human Resources

  • Support HR administration including onboarding coordination, record keeping, and benefits tracking
  • Assist with recruiting logistics, scheduling, and candidate communications
  • Help maintain HR documentation, policies, and compliance tracking
  • Over time: own HR processes, identify workforce needs, and serve as a resource for employee experience

Sales

  • Support the sales process through CRM maintenance, pipeline reporting, and follow-up coordination
  • Prepare sales reports and assist in tracking performance against targets
  • Over time: identify pipeline trends, surface insights to the Managing Director, and contribute to sales strategy

Marketing

  • Execute marketing tasks as assigned
  • Manage vendor and contractor relationships ensuring deliverables are met to a high quality standard
  • Track and report on key marketing metrics; maintain dashboards or reporting tools as directed
  • Over time: take ownership of the marketing calendar, recommend strategies, and manage initiatives independently

Communicates clearly and directly, both in writing and verbally. Keeps the Managing Director appropriately informed without over-reporting. Knows how to distill information and present it simply.

Comfortable shifting between very different types of work, from financial tracking to marketing coordination to HR logistics. Does not need everything to be perfectly defined before starting. Manages competing priorities without losing things.

Curiosity & Initiative

Asks good questions, wants to understand the why behind tasks, and looks for ways to improve how things work. Over time, does not wait to be told what needs attention. This competency is what separates someone who stays in execution mode from someone who grows into a strategic partner.

Business Judgment

Develops over time. Early on, this means reading a room, understanding what is and is not urgent, and asking before assuming. As the person grows, it means making sound recommendations and thinking beyond the immediate task to what actually moves the business forward.

This role has visibility into sensitive information across finance, HR, and operations. Handles confidential matters appropriately and understands the responsibility that comes with direct access to leadership.

Compensation & Benefits

The salary range for this position is $45,000 to $60,000 annually, depending on experience and qualifications.
