The role

We seek an exceptional Firm Administrator / Executive Assistant. This position is the concierge link with our exceptional clients. We value professionalism, loyalty, courtesy, reliability, and presence with a consistent commitment to exceed expectations.


What you’ll do

  • Facilitate client communications as our ambassador and with discretion
  • Draft initial documents, letters, and correspondence
  • Conduct legal and business research
  • Manage partner calendars, communications, and priorities
  • Track time entries and CLE compliance
  • Coordinate vendors, supplies, mail, and relationships with our banker and accountant
  • Maintain firm records and systems
  • Work directly with the executive team at Regional Brain Institute, a physician-owned neuroscience organization operating across seven states with whom we share office space

The ideal candidate will also be responsible for routine bookkeeping—accounts payable and receivable, client billing, bank reconciliations, and monthly financials. We will prioritize candidates with these skills.


What we’re looking for

  • 3+ years in a law firm, professional services organization, or senior executive support role
  • Strong Microsoft Office proficiency—Word, Excel, PowerPoint, and Outlook are daily tools
  • Clear, precise written communication skills
  • Tech savvy—new platforms, AI tools, firm systems
  • Bookkeeping and time-entry system (e.g., QuickBooks, TimeSolv, etc.) experience valued
  • Organized, discreet, calm under pressure, self-directed
  • Oklahoma Notary commission preferred; paralegal experience a bonus


Physical requirements

In-office role. Must be able to sit for extended periods, move throughout the office, lift up to 25 pounds, and drive locally for errands.
