Position Summary
The Office Manager plays a vital role in supporting our clergy, staff, community, and visitors in handling the day-to-day administrative needs with care and efficiency. The Office Manager provides consistent administrative support, facilities communication, maintains records of members and donations, manages accounts payable and receivable, office payroll, and Gift Shop accounting.

Key Responsibilities
  • Serve as a welcoming presence to all who reach out to the shrine, whether in person, by phone, or online.
  • Prepare the priests' monthly ministry schedules for the community.
  • Prepare the list of intentions for the masses in the shrine and chapel each month, along with the sacramental ministries done outside of the shrine.
  • Type and print the Prayers of the Faithful for the masses on the shrine.
  • Process and deposit cash at the bank weekly or as needed. (including mass collections, donations, ministry payments, donation boxes, and appeals.)
  • Process payroll for employees in QuickBooks weekly, particularly on Monday.
  • Send weekly payroll reports from QuickBooks to the Delegation House in Wisconsin on Mondays.
  • Process Gift Shop receipts (count cash, replenish cash boxes, and enter into QuickBooks).
  • Process weekly Accounts Payable in QuickBooks for the Shrine and Gift Shop.
  • Process debit and credit card purchases in QuickBooks for the Shrine and Gift Shop.
  • Reconcile monthly bank accounts in QuickBooks for the Shrine and Gift Shop.
  • Pay monthly federal and state taxes, payroll taxes for the Shrine and Gift Shop, and sales tax for the Gift Shop.
  • Process requests for Perpetual Votive Lights monthly.
  • Maintain inventory and order supplies.
  • Process requests for Rosary books, perpetual enrollments, and mass cards.
  • Assemble Perpetual Enrollments for the office and Gift Shop.
  • Maintain Access Database of Donor Information (DDI) (Record donations and update information)
  • Send quarterly donor listing to the Mission Media Office for newsletter mailings.
  • Prepare for the Christmas Appeal and volunteers for the annual Festival of Lights.
  • Prepare yearly budget and year-end financial reports
  • Send 1099 requests to the Delegation House annually.
  • Assist with scheduling vehicle maintenance and required vehicle paperwork (insurance cards, registrations, etc.)
  • Other duties as required.

Qualifications
Required
  • Experience with financial record keeping and reporting.
  • Strong organizational skills.
  • Ability to work independently, manage multiple tasks, and pay attention to detail.
  • Knowledge of Microsoft Office products, particularly Word and Excel.
Preferred
  • Knowledge of the QuickBooks accounting system.
  • Knowledge of Access Database Software. Requirements
  • Must complete the Employment Eligibility Verification Form I-9.

Hours & Compensation
  • Full-time begins at $30.00 per hour, or $62,400 annually
  • On Site
  • Compensation commensurate with experience and the Employment Guidelines of the Xaverian Missionaries USA
