Assistant Director of Admissions (Hybrid)

Job Description

Pacific College is seeking a dynamic individual for the position of full-time Assistant Director of Admissions at our Chicago campus. This position is hybrid, with at least 2-3 days per week required onsite at the Chicago campus.

General Job Summary:

The Assistant Director of Admissions Operations (ADOA) serves as a key point of contact for prospective students delivering accurate, professional, and ethical guidance throughout the inquiry, application, and enrollment process. The ADOA oversees admissions operations and training and may assume staff management and coaching responsibilities if supervisory duties are assigned in the future.

Essential Functions & Responsibilities:

  • Conduct interviews and tours and evaluate each prospective student based ontheir needs, desires, interests, qualifications, motivations, and commitments, and in accordance with all school and company policies and procedures, all applicable federal and state regulations and all accrediting agencies standards and requirements.
  • Strive toward admissions targets and maintain satisfactory levels of activity, including a minimum of 100 outbound calls per week.
  • Present information in a factual and ethical manner to prospective students and others regarding school’s programs and tuition and fee schedules, refund policy, payment plans and other college policies and procedures which affect students.
  • Assist students through each step of the admissions process from inquiry, document collection, assessment (when appropriate), orientation, and first two weeks of class attendance.
  • Assist prospective students in completing the admissions process in the most efficient and supportive manner.
  • Assist students with the finalization of the enrollment process to include start date with the school.
  • Represent the College at various open houses or weekend events, including occasional off-site recruiting events.
  • Facilitate new initiatives for admissions team.
  • Create a productive and supportive work environment.
  • Work with Senior Admissions and Marketing leadership to set department goals for each semester and for the year.
  • Provide updated reports on activity of applications, leads, and lead sources to appropriate departments.
  • Attend staff and admissions department meetings.
  • Manage and oversee CRM use for productivity and activity.
  • Coordinate with the Senior Director of Admissions regarding starting class enrollment, policy and procedure issues, and training on new programs.

If/when supervisory responsibilities are assigned:

  • Oversee operations, training, and management of the Chicago admissions department and staff.
  • Lead weekly stitch meetings with Chicago admissions staff.
  • Coach and develop Chicago admissions staff to ensure that they are working effectively and maintaining the standard for their positions.

Education and Experience:

  • Bachelor’s degree required.
  • Minimum of 3-5 years of experience in Admissions.
  • Proven record of successful supervisory experience in a people-oriented environment
  • Proficient skills and experience with Microsoft Office Suite (including Word, Excel, PowerPoint, Teams, Outlook) while adaptable and eager to learn new software.
  • A proven record in working successfully with diverse populations.
  • A positive attitude and ability to plan and adapt to change.
  • Ability to collaborate effectively with college departments and cross-functional teams.
  • Strong written and verbal communication skills with the ability to interact effectively with all individuals.
  • Effective organizational, time management, and problem-solving skills.
  • Ability to work well independently as well as within a team.

Work Environment: The work environment characteristics are representative of those an employee encounters while performing essential functions of the job in a typical office/workstation situation. Able to work sitting or standing at desk and operate a computer using keyboard and reading information on a monitor. Able to assist during campus events, info sessions and open houses, as well as offsite events with setting up and taking down.

Salary Range: $33.66 to $36.06 per hour /$70,000.00-$75,000.00 annually
