The Business Office Assistant at One Bright Ray Community High School serves as an integral member of each campus’ team as an active member that travels and actively communicates with all employees.
The Business Office Assistant is a member of the Business Department and works collaboratively with the entire school community. As a Business Office Assistant, effective communication and efficient time management are essential. As a member of the School Community, the Business Office Assistant should always demonstrate professionalism in all interactions.
Qualifications: High School Diploma Required, Associate's Degree preferred
Years of Experience: Minimum 1-2 years’ experience preferred
Salary: $40,000 - $45,000 / yr
Primary Responsibilities:
Administrative Support: Provide general administrative support to the business office by handling correspondence, assisting with projects, managing document storage, and addressing office requests.
- Maintaining an up-to-date filing system, ensuring the confidentiality and security of sensitive information
- File, Shred, Fax, Label & laminate, copying
- Ensure accurate and timely filing, retrieval, and distribution of/disposal of records as required
- Mailing: Sort incoming US Mail, and collect mail from CAP
- Place orders as instructed
- Attach paperwork to bills (order request, purchase orders, packing slips)
- Sort and attach credit card receipts to the statement, update receipt logs
- Update the retirement contribution list as instructed by the CFO
- Assist the Business Manager and CFO with business tasks and transactions
- Communicate with other vendors as required
- Organize and maintain electronic and physical documentation, including invoices, contracts, and reports
- Ensure compliance with company policies and guidelines when executing tasks
Communication:
- Answer phones, respond to emails, and handle inquiries from vendors, employees, and students
Travel:
- Travel to all campuses, post office, and other businesses as required
- Handle the distribution and collection of supplies and documentation
- Travel to support school-related activities and events
Events:
- Support the planning and organization of events
- Purchase & distribute items
- Set up, Host & Cleanup for Activities/Events for Professional Development, OBR Inc, etc., per request
Store School:
- Perform Inventory Checks
- Maintain the donation log & binder, order log, and other business logs as required
- Organize and Maintain storage room neat and clean
- Handle Sales: School Store, Prom & Graduation as backup
Money Management:
- Count & Rollup change
- Distribute change to campuses
Senior Pictures:
- Support photography sessions at all campuses
