Part-Time Grant Director provides administrative and operational oversight for Early College grants, supporting program development, budget tracking, staff coordination, consultant management, and grant reporting.
Working closely with the Early College Assistant Deans and Deans, the position focuses on
administrative coordination, documentation, fiscal tracking, and reporting support, while assisting with supervision logistics and consultant oversight to ensure high-quality program delivery.
Key ResponsibilitiesAdministrative Program Support- Provide administrative coordination for all program activities.
- Maintain program calendars, schedules, meeting agendas, and documentation.
- Support program planning and implementation aligned with approved grant objectives and timelines.
- Track deliverables and assist with continuous improvement documentation.
Budget Tracking & Fiscal Administration- Assist with monitoring the grant budget, expenditures, and encumbrances.
- Track invoices, purchase requests, stipends, and reimbursements in coordination with finance staff.
- Maintain documentation for required cost share/match and in-kind contributions.
- Support the preparation of budget modifications and fiscal summaries.
Staff & Consultant Coordination- Provide administrative support for supervision of grant-funded staff, including scheduling, timesheet tracking, and documentation.
- Coordinate onboarding materials, training logistics, and meeting schedules for staff and consultants.
- Assist with managing consultants by tracking scopes of work, deliverables, timelines, and invoices.
- Serve as a point of contact for routine communication with consultants and vendors.
Grant Reporting & Compliance Support- Maintain accurate records and documentation required for federal GEAR UP compliance and audits.
- Assist with data collection, tracking, and preparation of required reports (e.g., performance updates, annual reports).
- Support submission of reports to funders, partners, and internal stakeholders.
- Ensure files are organized and maintained in accordance with grant and institutional policies.
Communication & Stakeholder Support- Support communication with schools, families, partners, and stakeholders.
- Assist with planning and documentation for family engagement events and meetings.
- Participate in grant meetings and trainings as required.
Required Qualifications- Master's degree in Education, Business, Public Administration, or a related field preferred.
- Minimum of 8+years of administrative experience, preferably in grant-funded or educational programs.

- Report preparation and compliance documentation
Preferred Qualifications- Experience with education grants (GEAR UP, TRIO, 21st CCLC, or similar).

- Attention to detail and ability to manage confidential information.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and basic budget tracking tools.
- Ability to work independently and collaboratively in a fast-paced environment.
Work Schedule & Conditions- Part-time schedule with flexibility based on program needs.
- Occasional evening or weekend hours for student or family events.
- Limited local travel may be required.
