The Sales Administrator provides administrative support to the company's sales management, sales team, & Technical Service through consistent coordination & execution of tasks & activities that intersect between sales support, customer service, & office administration.
Essential Functions of the position include:
Rebates
Track & review annual, quarterly & semi-annual rebate information & calculations in EAS.
Provide rebate breakdowns for key customers & on request.
Calculate & process customer signing & conversion bonuses
Compliance
Policy allowance administration & processing for Concrete/Masonry & Cement-Submit for approvals/processing
Provide documentation to auditors to show Sarbanes Oxley compliance
Customer Functions
Handle customer service requests to update customer master records with shipping plant, shipping instructions, carrier information, etc.
Maintain customer information in company databases, submit completed customer set up form to shared services for customer creation as well as any address changes
Coordinate with other departments to complete other areas of pertinent data for customer accounts (ie, tax exemptions, order confirmations, invoice output, etc.)
Serve as information liaison between Sales & Customer Service on customer related issues
Draft supply agreements/rebate programs/signing bonuses/conversion bonuses.
Customer service requests-i.e. "find" customer numbers in SAP, provide correct customer numbers to use for orders, etc.
Review completed dispenser equipment requests for accuracy. Create dispenser equipment IO#, & enter request into CAPEX for capital expenses
Pricing
Monitor monthly price targets & gather appropriate approvals for prices that don't meet targets
Coordinate & communicate price increases & maintain pricing database
Create price & project quotes
Coordinate annual & quarterly price increases & any unforeseen increases and/or service fees
Invoicing/Billing
Audit billing transactions & assist with internal audits
Assist with PO requests & reviews, & invoicing process
Provide backup documentation for random sample of invoices
A/P functions - Request PO numbers, complete goods receipt posting for invoices received or G/L account codes, & resolution/approvals of invoices in Medius
Process service fee credits in EAS
Coordinate waste removals - Create POs, receive waste removal requests & submit to removal company, & process invoices in Medius
GCP/Chryso cross selling functions - Setting up accounts/adding pricing/liaison between the two groups
Coordinate & generate all credit & debit memos for region for any "non-inventory" affecting items (price changes, freight charges, 3rd party vendor discrepancies, service fees)
A/P Support - contact customers in the region that have short payments on account to determine cause & resolve as needed. Communicate resolution to credit department & India cash applications group.

Education Requirements:
High School Diploma or Equivalent Required
Associate's Degree in a Related Field Preferred
Experience Requirements:
3+ years' experience in Customer Service, Sale Office, or Similar Field Required
Experience with SAP Required
Proficient in Microsoft Excel, Word, & PowerPoint Required
Adept at Creating Reports Required
Possess excellent customer service and communication skills; able to actively listen and articulate effectively, especially through telephone Required
Experience in a Business Warehouse Preferred
