Job Description

Position OverviewHamilton-Wenham Regional School District is seeking an experienced and detail-oriented Data Management Specialist to join our Information Technology department. The successful candidate will demonstrate excellent judgment, strong communication skills, and a commitment to data integrity and accessibility. This position plays a central role in supporting federal, state, and local reporting obligations, maintaining student information and assessment systems, and advancing the districts data-driven decision-making culture.This is a twelve-month, full-time position. Compensation is commensurate with experience.Massachusetts State Reporting ResponsibilitiesA core function of this position is the accurate and timely completion of all Massachusetts Department of Elementary and Secondary Education (DESE) mandated data submissions.

The Data Management Specialist will serve as the districts primary point of contact for the following state reporting collections: Report / SystemDescriptionSIMSStudent Information Management System submission of student enrollment and demographic data to DESE.EPIMSEducational Personnel Information Management System staff and teacher licensure, assignment, and employment data.SCSSchool-to-Career System / Course-level data reporting for all students and staff course assignments.SSDRSchool Safety and Discipline Report annual reporting of discipline incidents, offenses, and exclusions.Additional DESE CollectionsOther state-mandated data submissions as required by the Massachusetts DESE, including but not limited to special education, ELL, and assessment data collections.ResponsibilitiesStudent Information System (SIS) ManagementSupport and maintain student enrollment, demographic, and contact information within the districts Student Information System (SIS) which is currently managed within PowerSchool SIS.Conduct regular data validation to ensure accuracy, completeness, and compliance with district and state standards.Assist with retrieving information and generating local and administrative reports from the SIS.Monitor and maintain automated data transfers from the SIS; troubleshoot and resolve transfer errors as they arise.Manage annual SIS rollover processes and updates to student assessments.Serve as the districts primary liaison with SIS vendor sales, support, and project management teams.Staff Data & Personnel SystemsSupport and maintain staff demographics, contact information, licensure, qualifications, and district employment history.Support the implementation and ongoing operation of personnel management systems.Manage data transfers related to evaluation management systems.Reporting & Data AnalysisLead all required Massachusetts DESE data submissions including SIMS, EPIMS, SCS, SSDR, and other mandated collections.Compile and distribute data reports to support school and district data-driven inquiries and instructional improvement efforts.Assist in the development and maintenance of school course catalogs and scheduling support processes.Communication Systems & TrainingManage contact lists and third-party mass communication channels (e.g., Blackboard Connect / SchoolMessenger).Collaborate with the Family/Community Engagement Liaison & Registrar in the maintenance and development of the districts web presences, www.hwschool.net and its associated platforms.Train staff to use relevant programs for inputting and accessing data accurately.Lead district professional development efforts for staff responsible for data management and SIS integrity.GeneralAssist with the development and technical support of SIS/SPED value-added projects.Perform other duties as assigned by the Director of Information Technology.QualificationsRequiredBachelors Degree in Information Technology, Data Management, Education Administration, or a related field, or equivalent professional experience.Demonstrated experience managing databases and performing data extraction, validation, and analysis.Experience with Massachusetts DESE state reporting systems and collections (SIMS, EPIMS, SCS, SSDR).Proficiency with Microsoft Office Suite and Google Workspace (Docs, Sheets, etc.).Scripting or query skills in HTML, XML, or SQL.Experience producing clear, accessible data reports for non-technical audiences.Strong attention to detail with a commitment to data accuracy and confidentiality.Excellent written and verbal communication skills.PreferredExperience with PowerSchool SIS or comparable student information system.Experience with Blackboard Connect or other district mass notification platforms.Experience with Cognia/eMatric, MCAS and other student assessment management systems.Familiarity with relational database technologies and data warehousing concepts.Prior experience working in a K12 public school district environment.Working ConditionsThis is a full-time, twelve-month position. Standard hours are 8:00 AM to 4:00 PM during the academic year. Summer hours follow the districts modified schedule.
