JOB TITLE: Admissions Support Representative

REPORTS TO: Associate Director of Admissions Support


POSITION SUMMARY:


The Institute of Culinary Education (ICE) is seeking an Admissions Support Representative to join our Admissions team. This role is critical in supporting prospective students throughout the admissions and enrollment process while also ensuring a high-quality guest and student experience across campus operations.

This role requires a detail-oriented, service-driven professional who thrives in a fast-paced, team environment. The Admissions Support Representative will support Admissions Representatives, assist applicants through the enrollment process, and serve as a key point of contact for students, guests, and prospective students—ensuring a seamless and positive experience from inquiry through start.

KEY RESPONSIBILITIES:

Admissions & Enrollment Support

  • Support Admissions Representatives by assisting applicants in completing enrollment requirements and obtaining required documentation.
  • Review student files to ensure accuracy and compliance with institutional and regulatory requirements.
  • Process applications, enrollments, and maintain accurate records across systems.
  • Conduct proactive file reviews and communicate outstanding requirements to students.
  • Respond to applicant inquiries via phone, email, and text in a timely and professional manner.

Student & Guest Experience

  • Serve as a front-facing representative of ICE, ensuring a welcoming and professional environment.
  • Greet prospective students, guests, and visitors; assist with check-in for tours, classes, and events.
  • Support Admissions events as needed.
  • Manage incoming calls and direct inquiries appropriately.

Recreational & Customer Service Support

  • Assist with recreational class registrations, purchases, refunds, and credits.
  • Respond to customer inquiries via phone, email, and voicemail with urgency and accuracy.
  • Address student and guest concerns promptly, escalating when necessary to ensure resolution.
  • Promote ICE offerings including recreational classes, events, and gift cards.

Operations & Administrative Support

  • Monitor shared inboxes and communication channels to ensure timely responses
  • Assist with merchandise sales.
  • Assist with inventory management, including stocking supplies and organizing storage areas.
  • Perform stockroom duties such as receiving, unpacking, and organizing materials.
  • Support operational needs by handling inventory and moving supplies as needed.
  • Support class start check-ins and onboarding processes.
  • Maintain organized documentation and detailed notes in internal systems.
  • Collaborate cross-functionally with Admissions, Student Financial Services, Education, and Operations teams.
  • Perform additional duties as assigned by leadership.

QUALIFICATIONS:

  • Associate’s degree or equivalent work experience required.
  • Minimum of 2 years of experience in a high-volume, customer-facing environment (admissions, registrar, hospitality, retail, or food service preferred).
  • Strong communication skills (written and verbal) with a professional and approachable demeanor.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Demonstrated problem-solving and critical thinking ability.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Google Docs) and ability to learn new systems quickly.
  • Ability to work both independently and collaboratively within a team.
  • Flexible schedule including evenings and weekends as needed.
  • Interest in culinary arts, food, or hospitality is strongly preferred.

The position is full-time and requires flexibility to work some evenings and occasional weekend shifts according to department rotation, which is set in advance.
