BASIC PURPOSE*This position has been approved for a flexible work option arrangement. Flexible work options can be ended at any time by the College, Cabinet, and/or supervisors based on employee performance and/or as institutional needs change. **A credit history check is required before starting on the first day.Review of applications will take place after Sunday, May 17th.
Reporting to the Senior Accountant, Disbursement Management, the Payroll Administrator is responsible for the processing of payroll for all payroll cycles. The Payroll Administrator is accountable for the calculation of payroll liabilities as well as the applicable Federal, State, and Local Tax filings and reports. This position will perform complex payroll account analysis requiring advanced knowledge of internal policies and external regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES* Prepare Full-time, Part-time, Adjunct, and Overload payrolls. Including the preparation of the required worksheets and the supporting documentation for payroll taxes and employee deductions for review and payment of the period, month, quarter, and year. Provide analysis of payroll data after each calculation, research any discrepancies or issues.
* Calculate and monitor faculty deferred payroll, maintain accrual records for true up and audit purposes.
* Prepare and process the Forms W-2.
* Assists in planning monthly, quarterly, and annual close processes to allow adequate review by manager so all deadlines are met. Process quarterly, fiscal and calendar year close in college's software system.
* Create stipend worksheet for additional hours and HR memos. Contact initiator for additional information as needed to confirm memo accuracy. Collaborate with HR and Manager for any anomalies.
* Assist and analyze assignment contract data prior to conversion process. Work with Academic Affairs to ensure accuracy of stipend payments and make necessary adjustments.
* Compile and organize information on employee tax changes for entry into system, LST exemptions, w-4's, etc. Run reports for comparative analysis and collaborate with Manager for resolution.
* Provide customer service to college employees in responding to both written and verbal inquires for the purpose of providing information and direction.
* Back-up to Senior Accountant, Disbursement Manager for all payroll functions and represent the Senior Accountant at meetings. Collaborate with Human Resources to resolve payroll processing concerns. Collaborate with IT for processing concerns and software testing.
* Performs other duties as assigned.
ESSENTIAL KNOWLEDGE AND SKILLS- Education/Training/Work Experience:
- Associate degree (or credit equivalent) is required; Bachelor's degree in Accounting, Business, Finance or related area is highly preferred.
- At least two years of relevant payroll experience is highly preferred.
- Proficiency in MS Office; advanced Excel skills required.
- Excellent communication, both written and oral required
- Experience in College or University environment highly preferred.
