The Office for Children with Special Health Care Needs (OCSHCN) may be the place for you! OCSHCN is seeking an Administrative Specialist in the Elizabethtown area. OCSHCN provides comprehensive services for children and youth with special health care needs through our pediatric specialty clinics, care coordination, case management, therapies, and collaborations.

The Administrative Specialist provides professional support in the review, evaluation, development, and implementation of the agency's activities, as well as assists the statewide Audiology and Early Hearing Detection and Intervention (EHDI) department.

Responsibilities and Duties:
  • Interprets and follows regulations, policies, and processes applicable to agency programs.
  • Acts as initial contact for patient referrals to clinical or augmentative programs.
  • Routes contractors to appropriate responsible staff.
  • Provides administrative support to medical and interdisciplinary team where necessary.
  • Assists in scheduling and coordinating clinical and augmentative services, client registration, and updating medical records to ensure accurate demographic information, insurance, and clinical/augmentative information.
  • Obtains diagnostic results from outlying facilities, as well as uploads in Computer Utilization Project (CUP) and files appropriate diagnostic forms before, during, and after each encounter.
  • Verifies client insurance before each patient encounter.
  • Verifies benefits as needed.
  • Schedules patient diagnostic tests.
  • Creates prior authorizations as needed.
  • Communicates with patients, providers, and family.
  • Prepares and submits reports to other agencies or community partners and providers as needed.
  • Assists or completes office inventory annually and on an as needed basis.
  • Assists with statewide audiology and EHDI program inventory, calibration, purchasing.
  • Serves as ProCard, purchaser, and petty cash recorder and reporter.
  • Serves as safety team leader or member.
  • Prepares and submits reports to office administrator and agency representatives, such as petty cash and outreach.
  • Assists in the security and maintenance of all medical records, release of medical record information as appropriate, and archiving records in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and confidentiality policies and procedures.
  • Ensures current knowledge on all policies and procedures as related to records and assists in facilitation of the office and unit budget.
  • Assists with the drafting, development, and production of training materials and patient and family information handouts.
  • Assists and attends local community engagement and outreach activities.
  • Assists with review and recommendations for agency policies and office purchases.
  • Performs Other Duties as Assigned.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.


EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.


Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.


Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions
Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
