Parish Communications and Operations Manager

OVERVIEW

St. John’s is an engaged and historic parish in Gloucester serving the Cape Ann community. We seek a Parish Communications and Operations Manager who will help strengthen our parish life through clear communication and effective operational support.

The Parish Communications and Operations Manager plays a key role in helping St. John’s tell its story, support ministry leaders, and ensure that the day-to-day operations of the parish run smoothly. This position works closely with the Priest in Collaboration, staff, vestry, and volunteers.

This is a part-time job with a weekly average of 19 hours per week including in-person and remote work. Salary: $27,000 - $32,000 depending on experience, plus prorated benefits including holiday and sick time and paid vacation.

KEY RESPONSIBILITIES

1. Communications and Community Engagement

● Manage parish communications including the weekly newsletter, worship bulletins, website updates, and social media.

● Work with the Priest in Collaboration and vestry to ensure consistent messaging and storytelling across platforms.

● Work with staff and volunteers to maintain and update parish communication tools including Constant Contact, Facebook, YouTube, and other digital platforms.

● Coordinate local media outreach and community communications.

● Collaborate with volunteer and professional website maintainers to ensure content remains current, accessible, and engaging.

● Support clergy, staff, and ministry leaders with editing, messaging, and communication needs.

● Monitor the effectiveness of parish communications and help strengthen outreach and newcomer engagement.

● Maintain parishioner records and communication lists within the Realm database.

● Produce and print weekly worship bulletins.

● Coordinate parish communication related to events, ministries, and outreach initiatives.

2. Parish Operations and Administration

● Provide biweekly payroll services for parish staff.[1] [2]

● Support church ministries and committees and collaborate with volunteers.

● Work with the Treasurer and Bookkeeper to fill all check request forms using the chart of accounts.

● Assist with staff onboarding and employee benefits administration.

● Maintain personnel files, training, and HR-related documentation.

● Manage vendor paperwork including W-9 and 1099 forms.

● Coordinate with the Treasurer and Bookkeeper to provide information needed for financial reporting.

● Support preparation of the annual parochial report, audit, and stewardship reporting.

● Assist with annual giving campaign coordination.

● Manage parishioner records and administrative data in the Realm database.

● Coordinate rotations with Lay Ministry Leaders for publication and communication.

● Coordinate parking lot annual leases, park thrive and communication with attendant for special events or problem shooting.

● Respond to and coordinate requests related to the Parish Emergency Fund.

● Oversee and order office inventory and supplies.

● Serve as a central administrative point of contact for parish communications, technology questions, and coordination with volunteers.

● Act as the primary administrative liaison for church ministries and committees; oversee the end-to-end coordination of Vestry meetings, including timely notifications and digital document management.

● Facilitate smooth operations for volunteer-led ministries by providing logistical support.

3. Qualifications

● Experience managing communications and digital platforms.

● Experience in nonprofit or church operations, including familiarity with payroll processes.

● Exceptional writing, editing, and storytelling skills.

● Strong organizational and project management abilities.

● Ability to manage multiple projects and deadlines.

● Collaborative and able to work effectively with clergy, staff, vestry, and volunteers.

● Familiarity with Realm or similar church databases preferred.

● Proficiency with communications tools such as Constant Contact, Canva, Facebook, and YouTube.

● Appreciation for the Episcopal Church tradition and parish life.
