Administrative Assistant

Job Description

ICT Used Cars is growing and we’re looking for someone who can keep up.

This is not a sit-behind-a-desk-and-answer-phones type role. This position is for someone who is organized, detail-driven, and takes ownership of their work. You’ll be supporting day-to-day dealership operations across sales, service, and accounting helping make sure nothing falls through the cracks.

If you’re the type of person who figures things out, stays on top of tasks without being asked, and takes pride in getting it right the first time, you’ll do well here.

What You’ll Be Doing

  • Greet customers, vendors, and team members and help direct traffic in the office
  • Answer phones, respond to emails, and handle day-to-day communication
  • Enter and manage data in our system (DealerCenter, spreadsheets, etc.)
  • Keep digital and physical files organized and up to date

Operations Support

  • Monitor service tickets to make sure they are closed, documented, and attached correctly to vehicles
  • Track inventory status between service, recon, and front line
  • Help keep CRM/DMS information clean and accurate

Deal & Compliance Support

  • Review deals after they are approved by management to ensure everything is complete and accurate
  • Verify required documents are signed and included (Buyer’s Orders, disclosures, etc.)
  • Catch and flag mistakes before deals are finalized
  • Work with sales and finance to keep deal flow moving and clean

Accounting Support

  • Assist with data entry for titles, invoices, and deal paperwork
  • Help with basic bookkeeping tasks (invoicing, tracking expenses, reconciliations)
  • Ensure documents are scanned, uploaded, and filed correctly

General Office Support

  • Assist with scheduling and task follow-ups
  • Maintain office supplies and organization
  • Support leadership with day-to-day operational needs

What We’re Looking For

  • Prior administrative or office experience required
  • Accounting or bookkeeping experience strongly preferred
  • Strong computer skills (Excel, Google Workspace, ability to learn systems quickly)
  • High attention to detail this role catches mistakes before they cost us money
  • Ability to multitask and stay organized in a fast-paced environment
  • Self-starter mentality, you don’t wait to be told what to do
  • Problem solver, you try to find the answer, but know when to ask questions
  • Professional communication skills with both customers and team members
  • Bilingual is a plus, not required
