Operations & Executive Assistant – Real Estate Team

Location: Gold Coast & Uptown Locations
Position Type: Full-Time, Salaried
Work Setting: In-office to start, with some flexibility after training
Compensation: $70,000 to $80,000 base salary, plus performance-based bonuses, PTO, and additional benefits

We are a top-producing, fast-paced real estate team seeking a highly organized, proactive, and dependable Operations & Executive Assistant to serve as a key support partner to the Team Lead and the operational backbone of the business.

This is not an entry-level administrative role. We are looking for someone who can work independently, think critically, manage multiple priorities at once, and bring structure, follow-through, and calm to a demanding environment. This person will play a central role in keeping the team organized, the Team Lead supported, and the business running smoothly day to day.

The ideal candidate is resourceful, detail-oriented, highly trustworthy, and exceptionally strong at problem-solving. You should be comfortable operating in a high-stress, high-accountability setting where priorities can shift quickly and a high level of professionalism is expected at all times. Preference given to candidates with relevant experience in the real estate profession.

Key Responsibilities

Executive Support

  • Manage and coordinate the Team Lead’s business and personal calendar, scheduling, and priorities
  • Anticipate needs, protect the Team Lead’s time, and ensure critical tasks and follow-up items stay on track
  • Provide direct support with a wide range of business and personal matters
  • Handle confidential and sensitive information with discretion and sound judgment
  • Serve as a trusted right hand, gatekeeper, and problem solver

Operations Support

  • Build, improve, and manage internal systems and processes that support the team’s day-to-day operations
  • Oversee organization and follow-through for lead generation, database management, client communication, and back-office workflows
  • Create and maintain clear documentation of systems, procedures, and standards
  • Identify inefficiencies and implement solutions that improve productivity, organization, and consistency
  • Help keep the team aligned, informed, and accountable

Client, Vendor & Team Coordination

  • Help deliver a high level of service and communication to clients throughout their experience with the team
  • Serve as an early point of contact for client questions, concerns, and follow-up needs
  • Coordinate with vendors and outside partners as needed
  • Keep the Team Lead and agents informed of updates, issues, and action items
  • Support a smooth, responsive, and professional client experience across all touchpoints

Team Support & Growth

  • Assist with hiring, onboarding, and training future administrative team members as the business grows
  • Help maintain high standards for organization, responsiveness, and execution
  • Contribute to a team culture built on ownership, professionalism, and consistency

Qualifications

  • Strong experience in administrative support, executive assistance, operations, or team support
  • Real estate industry experience preferred
  • Proven ability to work independently and manage competing priorities with minimal oversight
  • Excellent organizational, time management, and project coordination skills
  • Strong written and verbal communication skills
  • Strong judgment, problem-solving ability, and attention to detail
  • Calm, professional, and solutions-oriented under pressure
  • Comfortable handling confidential business and personal matters
  • Proficiency with Google Workspace, CRM platforms, BoomTown, and social media tools

Compensation & Growth

This role offers a base salary of $70,000 to $80,000 annually, depending on experience and capability, along with performance-based bonuses, paid time off, and additional benefits.

This is an in-office role from 9:00 AM to 5:00 PM to start. Some flexibility in hours and work location may be available after the initial training and ramp-up period.
