Therapy Practice Coordinator

New Mexico Counseling Center is a collaborative mental health practice dedicated to providing high-quality care to individuals, couples, families, and children. We are seeking an organized, compassionate, and proactive Clinic Coordinator to support the daily operations of our growing practice. This role is ideal for someone who enjoys helping others, staying organized, and being part of a supportive team environment . The Coordinator often serves as the first point of contact for clients and plays an important role in creating a welcoming and professional experience.

Key Responsibilities

Client Support & Intake Coordination

  • Assist new clients with the intake process by sending and tracking paperwork prior to appointments
  • Answer phones and respond to client inquiries professionally and compassionately
  • Provide information to prospective clients about services and scheduling
  • Upload and organize client documents within the electronic health record system (TherapyNotes)

Administrative & Clinical Support

  • Provide administrative support to therapists and the Clinical Director
  • Assist with onboarding logistics for new clinicians and interns
  • Maintain internal forms, administrative systems, and office procedures
  • Support scheduling coordination and day-to-day administrative workflows
  • Maintain organized office files and documentation and assist with scanning, copying, and electronic filing

Electronic Health Record Support

  • Upload client paperwork and administrative documents into TherapyNotes
  • Monitor intake documentation and assist with organizing required forms
  • Support administrative preparation related to billing documentation when needed

Therapy Room & Office Readiness

  • Maintain a calm and professional office environme
  • Ensure therapy rooms are organized and welcoming for clients by resetting and tidying room and reception areas between sessions when needed.
  • Reset and tidy rooms and reception area between sessions when needed
  • Restock and monitor supplies and track supply needs and notify leadership for reorders
  • Preform light office upkeep (no heavy cleaning)
  • Assist with general organization, filing, mailings and occasional errands
  • Other duties as assigned.

Qualifications

  • High school diploma required; Associate or Bachelor’s degree preferred
  • Previous administrative or office support experience required. Healthcare office experience preferred
  • Experience in healthcare, counseling, or behavioral health settings is a plus
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and adhere to HIPAA standards
  • Proficient in using computers and standard office software
  • Experience with electronic health records (such as TherapyNotes) preferred
  • Valid driver’s license and reliable transportation required
