Position Summary

Reporting to the General Manager, the Parts Manager is responsible for the overall leadership, organization, and performance of the parts department in support of the service operation. This role ensures the right parts are available at the right time to maximize service efficiency, minimize downtime, and support profitability.

The Parts Manager works closely with the Service Manager, technicians, and front-end staff to maintain seamless workflow, accurate inventory control, and exceptional customer service.

Key Responsibilities

1. Inventory Management & Procurement

· Maintain optimal inventory levels to support service demand while minimizing excess stock.

· Order parts, accessories, and supplies based on usage trends, seasonal demand, and upcoming service needs.

· Monitor stock turns, obsolescence, and shrinkage, and implement corrective actions as needed.

· Manage vendor relationships and ensure timely and cost-effective procurement.

2. Service Department Support

· Partner closely with the Service Manager and technicians to ensure parts availability for scheduled and ongoing work.

· Prioritize parts orders based on service urgency and customer timelines.

· Ensure accurate parts lookups, quoting, and allocation to work orders.

· Reduce technician downtime by proactively managing high-use and critical parts inventory.

3. Team Leadership

· Recruit, train, and develop parts staff to build a high-performing and customer-focused team.

· Establish clear expectations, workflows, and accountability for accuracy and efficiency.

· Provide ongoing coaching and support to improve product knowledge and system proficiency.

4. Financial Performance & Controls

· Manage departmental budget, margins, and cost controls.

· Monitor KPIs such as inventory turnover, fill rate, gross margin, and order accuracy.

· Ensure proper pricing strategies and margin targets are maintained.

· Identify opportunities to increase parts sales and profitability.

5. Systems & Process Management

· Maintain accurate inventory records within the dealership management system (DMS).

· Ensure all parts transactions are properly recorded, billed, and reconciled.

· Implement and improve processes for receiving, stocking, picking, and returns.

· Manage warranty parts and returns in accordance with OEM requirements.

6. Customer Experience

· Provide timely, accurate, and professional service to internal and external customers.

· Support front counter and phone inquiries as needed.

· Ensure clear communication regarding parts availability, timelines, and alternatives.

7. Organization & Facility Management

· Maintain a clean, organized, and efficient parts department.

· Ensure proper storage, labeling, and security of inventory.

· Conduct regular cycle counts and full inventory audits.

Qualifications

· 3–5+ years of parts, inventory, or dealership experience (powersports, automotive, or heavy equipment preferred).

· Experience supporting a service department is strongly preferred.

· Proven leadership or supervisory experience.

· Strong understanding of inventory control and procurement processes.

· Experience with dealership management systems (DMS) is an asset.

Pay: $75,000.00 - $85,000.00 per year
