OVERVIEW
The Office of Economic Development and International Trade ("OEDIT") was created to foster a positive business climate that encourages quality economic development through support of local and regional economic development activities throughout the State of Colorado. POSITION
OEDIT is seeking an organized, personable, and proactive Front Desk/Operations Coordinator to be the welcoming face and operational backbone of our office. This crucial role oversees the general daily operations of our dynamic office supporting 130 employees. The ideal candidate will thrive in a fast-paced environment, balancing the energy of greeting visitors and supporting staff with periods of focused, independent work. In addition to core administrative duties, this position offers the opportunity to support various divisions on special projects.
This is a full-time, Monday through Friday position, 8:00 AM - 5:00 PM, located exclusively in our downtown Denver office. Remote work is not permitted for this role.
RESPONSIBILITIES
Guest Services
Serve as the first point of contact, providing personalized, friendly, and professional customer service to all guests and clients in person and over the phone.
Proactively learn and maintain a strong working knowledge of OEDIT's diverse programs to effectively respond to inquiries, provide relevant information, and direct requests to the appropriate staff member.
Maintain the professional appearance and functionality of the reception and kitchen areas, including light routine cleaning and assisting with meeting room setup and cleanup.
Office Management Support
Responsible for the daily opening and closing of the office (8:00 AM - 5:00 PM).
Manage all incoming correspondence, including picking up, sorting, and distributing mail, and addressing general online inquiries received through the OEDIT website and the main office email inbox.
Order, maintain, and meticulously manage all office, kitchen, and shipping supplies to ensure continuous availability.
Coordinate state resource reservations, including fleet vehicles, conference rooms, and hoteling workstations; ensure fleet vehicles receive routine maintenance and report mileage monthly.
Act as the primary liaison with building management and external vendors to resolve facility, maintenance, and office-wide issues (e.g., office closures, deliveries).
Oversee and maintain all office equipment (e.g., printers, copiers) to ensure uninterrupted function.
Support Human Resources with new employee onboarding/offboarding logistics (e.g., IT equipment, network ID)
Process and log all incoming cash and checks; enter all operations department invoices into Salesforce.
Support employee IT requests by submitting and tracking tickets through ServiceHub
Update and manage relevant intra-office information on the intranet (e.g., employee lists, emergency planning materials).
Serve as the designated fire warden and safety manager for the office, including attending annual training.
Project Support & Operations Streamlining
Proactively identify and address staff needs for administrative support and assistance on various projects across OEDIT divisions.
Prioritize a variety of incoming administrative and project tasks to ensure timely completion.
Maintain a strong awareness of existing office procedures and proactively identify opportunities for process improvement and streamlining.
ADA Coordination
Act as OEDIT's lead resource for accessibility and disability nondiscrimination regulations, ensuring full compliance with Title II of the Americans with Disabilities Act (ADA).
Triage and direct external ADA complaints and grievances to the appropriate program staff.
Actively participate in ADA coordination training and working group meetings through the State Equity Office, Rocky Mountain ADA Center, and other relevant ADA resources.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Required Skills and Experience:
Minimum of 2 years of proven experience in a receptionist, administrative assistant, or equivalent office coordination role preferred.
Superior proficiency and expertise with Microsoft applications (Word, Excel) and Google Suite. Previous experience with a CRM is preferred.
Exceptional organizational skills with meticulous attention to detail and a commitment to accuracy.
Strong time-management skills, demonstrated flexibility, and the ability to multitask effectively in a fast-paced environment.
Education:
An Associate's or Bachelor's (BA/BS) degree is preferred. Related occupational experience will be considered and may substitute for the degree requirement on a year-for-year basis.

Supplemental Information
Salary Range: $55,000 - $60,000 Annually
This position is considered non-classified, which means the position is not part of the Colorado State Personnel System. Therefore, the individual appointed to this position is considered at-will, and is not covered by the State Personnel Rules or the State Classification System. However, this position does come with the same benefits (retirement, insurance, etc.) as every other State employee, and with the same opportunities, pride and passion that comes with working for the great State of Colorado. Even though employment is at-will, non-classified positions have protections against discrimination and retaliation in state and federal employment laws. "At-will" employment means that either the employee or the State may terminate the employment relationship at any time for any reason or no reason, with or without notice or cause, as long as no federal or state law is violated.
A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the Colorado Equal Pay for Equal Work Act. The salary analysis considers relevant experience, education, certifications, and state seniority as compared to others doing substantially similar work. While all offers are compliant with the Colorado Equal Pay for Equal Work Act, there is no guarantee an offer will be at the top of the posted range based on the salary analysis.
