Job Description

POSITION SUMMARY
Felix Commonwealth Virtual School (Felix School) is seeking a highly organized, proactive, and mission-driven Administrative Assistant to support the launch and daily operations of our innovative statewide virtual school.

This role is critical to ensuring smooth school operations across both virtual systems and in-person hub sites. The Administrative Assistant will serve as a central point of coordination for communication, scheduling, student records, and operational logistics - helping to create a seamless experience for students, families, and staff.

The ideal candidate thrives in a fast-paced, startup environment, is detail-oriented, tech-savvy, and energized by building systems from the ground up.

  • Help launch a brand-new, statewide virtual public school from the ground up by being a core part of the founding team bringing the first Lasell University hub site to life

  • Help define and build a school culture that is a mission-driven environment focused on innovation, flexibility, and student success

QUALIFICATIONS:

  • Equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities may be considered:
  • 2+ years of administrative or operations experience in a school setting, preferred
  • Experience using PowerSchool or a similar student information system
  • Experience managing or supporting organizational social media accounts
  • Experience in a school, virtual learning environment, or startup organization, preferred
  • Familiarity with student enrollment and reporting processes, preferred
  • Experience supporting communications, marketing, or family engagement efforts, preferred
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines simultaneously
  • Satisfactory criminal background check and a clear fingerprint-supported criminal record check from the State of Massachusetts .
  • Can be obtained post-offer of employment if candidate currently does not hold said clearance

DUTIES AND RESPONSIBILITIES:

  • Provide direct administrative support to school leadership, including processing, recordkeeping, and operational coordination
  • Manage front office operations, including receiving and screening calls and visitors, responding to inquiries, and coordinating meetings, conferences, and events
  • Coordinate calendars, schedules, and logistics for leadership, staff, and school-wide activities (virtual and in-person)
  • Assist in planning and executing school functions, including hub activities, family events, and special programs
  • Process purchase orders, invoices, reimbursements, and other financial transactions in accordance with established procedures
  • Collect, receipt, reconcile, and maintain accurate records of school funds (e.g., field trips, student activities, after-school programs, and site-based accounts)
  • Monitor site budgets, track expenditures, reconcile accounts, and prepare financial and operational reports
  • Create and maintain reports related to finance, attendance, and other organizational needs
  • Maintain organized and compliant recordkeeping systems, including confidential employee and student records in accordance with FERPA and applicable policies
  • Manage incoming and outgoing communications, including mail, correspondence, newsletters, and announcements
  • Access, update, and retrieve information from student information systems (e.g., PowerSchool) and other databases to support school operations
  • Ensure accuracy and integrity of student data, including enrollment, attendance, and documentation
  • Serve as a primary point of contact for students, families, staff, and community members, ensuring timely, professional, and supportive communication
  • Support student onboarding, enrollment processes, and ongoing record management
  • Provide basic troubleshooting support for school systems, technology, and logistics, and liaise with technical support as needed
  • Maintain and manage technology inventory, including Chromebooks and other equipment, and provide frontline troubleshooting support
  • Monitor timecards, supply budgets, and operational resources to ensure efficient site functioning
  • Support school-wide communications and marketing efforts, including social media management, content creation, and family engagement initiatives
  • Collaborate with leadership to promote student recruitment and community outreach aligned with the school’s mission and brand
  • Interpret and apply established policies and procedures, responding to inquiries and resolving issues within scope of the role
  • Contribute to building efficient systems and processes in a dynamic, startup-oriented school environment
  • Support staff onboarding, scheduling, and team operations while fostering a positive, responsive, and student-centered culture
  • Maintain strict confidentiality and exercise sound judgment in all aspects of the role
  • Additional duties may be assigned as necessary.

  • Demonstrates excellent reading, writing, computation, technology and communication skills.
  • Strong organizational skills and the ability to perform routine administrative tasks with accuracy and attention to detail.

  • Knowledge of standard office policies and procedures.
  • Knowledge of bookkeeping and records management.
  • Experience in managing the culture of the front office for staff to achieve customer service goals.
  • Skill in use of Google Suite and other software/applications
  • Ability to take initiative, solve problems within scope of responsibility, and represent the school in a professional manner.

While performing the duties of this job, the employee may occasionally push or lift up to 50 lbs such as boxes, supplies, etc. Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus, close vision, distance vision, color vision, peripheral vision and depth perception.

Location: Lasell University, Newton

Salary Range: $55,000-$70,000

Start date: July 1, 2026
