Office Manager – Concord School Location: Concord Primary School (5 Thoreau St, Concord) Hours: 8.30 - 12:00: 17.5 hours per week (term time only) Responsible to: The Principal and Board of Trustees Start Date: Negotiable, with a commencement no later than Monday, 20th July. Remuneration: In accordance with the Support Staff in Schools’ Collective Agreement, Concord School is seeking a highly organised, approachable, and proactive Office Manager to join our school community. This is a key role at the heart of our kura, where you will be the first point of contact for students, staff, whānau, and visitors. Guided by our school values of Confidence, Respect, Responsibility, and Excellence, we are looking for someone who can build positive relationships, communicate effectively, and contribute to a caring and inclusive environment. The successful applicant will play a key role in ensuring the smooth and efficient running of the school office, while creating a warm, welcoming, and professional atmosphere that reflects the values of Concord School. Primary Objective: To ensure the smooth and effective day-to-day running of the school through the professional management of the school office. This includes delivering high-quality administrative services, maintaining clear and responsive communication with students, staff, and whānau, and creating a welcoming environment that reflects our values. Key Responsibilities: Administration & Clerical Duties * Front office reception: greeting visitors, answering phones, and handling enquiries * Process incoming/outgoing correspondence and maintain a tidy and professional workspace * Payroll * Monitor and follow up on daily attendance, including un-notified absences * Manage student enrolments and maintain up-to-date records on Hero and ENROL * Prepare the school’s weekly newsletter * Order and manage school stationery and staffroom supplies * Prepare New Entrant Packs, maintain the School Prospectus, and the School website * Any other reasonable duties as required from time to time by the Principal or Board of Trustees Financial Responsibilities * Cash handling, including receipting and banking * Data Entry via Xero and Hubdoc Medical Room Support * Maintain first aid supplies and provide basic medical assistance * Care for unwell or injured students with empathy and professionalism We are looking for a successful applicant who: * Has strong administrative and office management skills with excellent attention to detail (school setting preferred) * Communicates clearly and professionally with students, staff, and whānau * Builds positive, respectful relationships across the school community and reflects the values of Concord School * Is highly organised, proactive, and able to manage a busy and varied workload * Remains calm, flexible, and solutions-focused under pressure * Works independently and handles confidential information with discretion * Is competent with digital systems such as Xero, Hubdoc, Hero, Edpay, and ENROL (or willing to learn) * Holds a valid First Aid certificate (or is willing to obtain one) How to Apply: Please send your CV and a cover letter outlining your suitability for the role to: application@concord.school.nz Applications close: Friday 29th May
