Position Summary

Saints Philip and James Parish is seeking a highly organized and detail-oriented full-time Parish Office Manager with 10+ years’ experience, preferably in a faith-based organization. The ideal candidate will be a committed and engaged Catholic for communication and collaboration with Parish ministries.


The Parish Office Manager serves as the first point of contact for parishioners and inquiries to the Parish office. This position supports the Pastor, parish staff and ministries by coordinating communications, managing records, and ensuring a welcoming and professional environment consistent with the mission and values of the Catholic Church. The Parish Office Manager will maintain confidentiality in all matters and will provide exemplary customer service within and beyond Saints Philip and James Parish.


Position Qualifications

The Parish Office Manager is expected to have knowledge and understanding of the Catholic Church and her mission. Requirements include:

  • High school diploma required; college degree preferred
  • Familiarity with general office organization and procedures
  • Excellent written and verbal communication skill
  • Excellent collaboration and teamwork skills
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), Publisher and a strong ability to learn new software programs and transfer knowledge between them
  • Experience with cloud-based platforms for email and data
  • Strong time-management skills
  • Bilingual Spanish/English preferred
  • The ability to perform outlined tasks with minimum supervision
  • Excellent interpersonal communication skills
  • Good organizational skills
  • Good record-keeping skills
  • The ability to meet deadlines
  • The ability to represent oneself professionally
  • The ability to maintain confidentiality
  • The ability to adapt to changes in routine or schedule

Scope of Responsibilities

  • Manage phone system for greetings, message retrievals and transfers
  • Manage proactively print and digital communications
  • Create, edit and maintain the Parish Bulletin
  • Manage the Welcome program for new parishioners
  • Maintain Parish database for registrations, census management and contributions
  • Maintain Sacramental Records for Baptisms, Confirmation, Weddings and Funerals
  • Provide Sponsor Certificates for Baptisms and Confirmations
  • Schedule Pre Cana, Baptisms, Weddings, Funerals, Penance Services, Holy Week and other Liturgical services
  • Maintain Pastor Calendar for appointments, pulpit requests, meetings and events
  • Publish weekly announcements for Baptisms, Funerals, Weddings and Prayer requests
  • Manage Mass Intention requests
  • Update and publish Mass Intentions, Celebrant schedules and stewardship data
  • Attend meetings to provide minutes of the Pastoral, Finance and Ministry Councils
  • Coordinate production and distribution of annual contribution envelopes
  • Prepare records and reports from Parish files and databases
  • Manage and maintain online facility calendars
  • Manage inventory for office supplies and liturgical supplies
  • And other duties as assigned
