Hospitality Operations Manager

Position Overview:

We are looking for a highly organized, proactive, and solutions-oriented Operations Manager to oversee the day-to-day operations of our short- and mid-term rental portfolio. This role is responsible for keeping properties guest-ready, operational systems organized, and field teams aligned.

The Operations Manager supervises the internal operations team, including cleaners, maintenance technicians, hospitality inspectors, and guest service agents. This position also coordinates with third-party vendors, managing scheduling, payments, and quality of work.

The Operations Manager ensures all work is completed on time, to company standards, and in a way that supports exceptional guest experiences and strong results for property owners.

This is a multi-faceted role that requires someone who can manage a high volume of moving parts without losing attention to detail. The ideal candidate is organized, decisive, resourceful, and comfortable taking initiative. We’re looking for someone who can identify issues, develop solutions, and follow through without needing to be told twice.

This role generally operates Monday through Friday between 9:00 AM and 5:00 PM, with flexibility to respond to urgent situations when necessary.

Key Responsibilities:

  • Manage daily property operations to ensure homes meet hospitality standards
  • Ensure properties are consistently clean, maintained, stocked, and guest-ready 
  • Monitor readiness and resolve issues impacting guest experience
  • Manage Breezeway and operational task systems
  • Oversee task creation and proper and timely completion across all departments 
  • Communicate property issues and recommendations and approval requests to owners 
  • Prepare monthly reports tracking staff time billable to owners
  • Lead and support the operations team
  • Supervise and support cleaning, maintenance, inspection, and guest service teams 
  • Ensure adherence to company standards and performance expectations 
  • Manage staff scheduling, shift coverage, and escalations
  • Coordinate cleaning, inspections, maintenance, and property readiness
  • Ensure every guest check-in has a completed inspection 
  • Oversee turnovers and ongoing property maintenance 
  • Identify issues and ensure corrective action is taken
  • Coordinate and manage third-party vendors
  • Schedule vendors, approve work, and ensure quality completion 
  • Manage vendor communication, documentation, and payments
  • Manage inventory, supplies, and property materials
  • Oversee supply ordering and inventory organization 
  • Ensure properties remain stocked and operationally ready 
  • Prepare monthly reports tracking stock supplies transferred to properties
  • Oversee property onboarding, setup, and listings
  • Lead new property setup and coordinate vendors and team members ◦ Maintain onboarding timelines, trackers, and listing accuracy ◦ Manage startup expenses and owner invoicing
  • Maintain operational systems and documentation
  • Ensure Asana, Notion, and other systems remain accurate and up to date 
  • Maintain documentation and clear communication across team and vendors
  • Support guest experience and service standards
  • Ensure timely, professional guest communication and review responses 
  • Monitor feedback and drive improvements in consistency and quality
  • Support leadership and company growth initiatives
  • Execute strategic initiatives and support new operational initiatives 
  • Identify inefficiencies and help build scalable systems

Qualifications:

  • Experience in property management, hospitality operations, or real estate operations
  • Experience managing vendors or coordinating property maintenance
  • Experience supervising or coordinating field teamsFamiliarity with digital tools used in property operations, including:

Asana

Notion

Hostaway (or other property management software)

Microsoft Office Suite (Outlook, Excel)

  • Demonstrated professional traits aligned with a high-performance, operations-focused environment

  • High attention to detail and strong follow-through
  • Ability to take initiative and make sound judgment calls
  • Valid driver’s license, clean driving record, and reliable transportation

Performance Expectations:

Success in this role means maintaining highly organized operations and ensuring properties consistently meet readiness standards for guest stays. The Operations Manager helps ensure the entire operations team is aligned and properties are operating smoothly.

Key performance expectations include:

  • 100% of check-ins inspected and guest-ready
  • 95%+ five-star reviews
  • Turnover time of 4 hours or less for STRs and 5 days or less for MTRs
  • All cleaning, maintenance, inspection, guest service, and vendor tasks completed on time and to standard
  • 100% of purchases and transferred supplies are documented and attributed to correct property
  • Breezeway, Asana, and Notion kept accurate and up to date
  • Identify issues early, take initiative to resolve them, and escalate to leadership when appropriate

The Operations Manager plays a critical role in protecting our operational standards, supporting the field team, improving systems, and ensuring our properties operate efficiently while delivering exceptional experiences for guests and strong results for owners
