The Role

We are seeking a highly organised and experienced Executive Administrative Assistant to provide comprehensive support to the Executive Leadership Team. This pivotal role is responsible for managing complex calendars and travel arrangements, coordinating meetings and executive communications, and serving as a key point of contact for internal and external stakeholders.

The successful candidate will also play an important role in office administration, vendor and financial coordination, and ensuring compliance with insurance, tax, and billing requirements. This position requires exceptional attention to detail, strong communication skills, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities:

  • Provide high-level executive support including complex diary management, meeting coordination, travel arrangements, and stakeholder communications.
  • Prepare agendas, minutes, reports, and follow-up actions while proactively managing priorities, deadlines, and executive commitments.
  • Oversee office administration, vendor relationships, invoicing, billing coordination, and compliance requirements including insurance and documentation.
  • Support business operations through onboarding coordination, internal event management, project administration, and HSEQ compliance activities.

Qualifications & Experience:

  • Minimum of 2 years of experience in an executive support, personal assistant or business administration position.
  • Exceptional organizational, analytical, and problem-solving skills.
  • High proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and document management systems.
  • Strong leadership, communication, and organisational skills, with demonstrated problem-solving and decision-making ability.
