Who we are: Voted STL's 2025 Favorite Veterinary Clinic because: Carol House Quick Fix Pet Clinics are a 501(c)(3) nonprofit organization dedicated to providing affordable, accessible spay/neuter and preventive care services for pets in underserved communities. We serve families throughout St. Louis Metropolitan and surrounding areas who may otherwise struggle to access veterinary care.

We are high-volume spay/neuter clinics, performing up to 1,500 surgeries per month with a strong emphasis on patient safety, efficiency, and compassionate care. Through prevention-focused care, we help reduce pet overpopulation and shelter overcrowding and keep pets healthy and with the families who love them.

Who We’re Looking For: Seeking an experienced, high-capacity leader to serve as Director of Operations. Critical role designed for a professional who thrives in fast-paced environments where mission-critical work meets complex operational challenges. The ideal candidate will provide strong, visible leadership to staff across departments, improving clinic culture and customer service through clear, consistent direction who manages “boots on the ground” complexities of a high-volume pet clinic, allowing the Executive Director to focus on long-term culture and strategic scaling. Role requires exceptional judgment to manage high-risk cases and ability to proactively address daily operational hurdles. The Director of Operations helps ensure the clinic runs efficiently, maintains financial health and delivers exceptional, spay/neuter and wellness services to underserved communities.

KEY RESPONSIBILITIES:

Operational Leadership

o Maintain a consistent and visible presence on the clinic floor to oversee daily operations, ensure an efficient workflow, monitor and proactively identify and address cases requiring additional attention and/or support

o Ensure the clinics operate at maximum capacity

o Act as the first and primary point of contact for staff and client disputes, providing step-by-step direction and immediate problem-solving

· Case and Risk Management

o Assist with the most complex cases requiring significant time and attention - those involving high-risk animals or stressful client interactions – that require significant time and judgment

o Serve as the lead for de-escalation, utilizing expert communication skills to assist clients and guide staff through situations avoiding volatility

· Staff Management & Mentorship

o Holding subordinates accountable for performance, attitude, and conduct

o Preparing and administering corrective actions

o Manage and support staff across multiple areas of the clinic, providing clear, step-by-step guidance - foster a positive, collaborative, and professional clinic culture

· Customer Service & Culture Improvement

o Partner with the Executive Director to implement more formal consistent clinic culture

o Actively work to improve the client experience

o Adapt best practices around organizational culture expectations (such as those established by Emancipet - TX)

· Operational Support

o Oversee partner organization logistics, scheduling and fees

o Payroll timeclock

§ Address any excessive staff absenteeism and/or tardiness

§ Other operational tasks as needed to maintain seamless operations

· Key Qualifications

o Significant work history with a proven track record of leadership in a high-volume or stressful environment (Animal Welfare, Medical, or Emergency Services preferred)

o Ability to make important decisions that align with organizational values independently, particularly regarding animal safety and risk management – think critically and make sound decisions to maintain clinic flow

o Exceptional interpersonal skills with the ability to remain calm when dealing with complex human and animal needs

o Proven ability to lead by example, provide hands-on support, and manage staff in a fast-paced environment – A “no task is too small” attitude combined with the “big picture” ability to manage schedules and logistics

o Strong interpersonal and communication skills to effectively support clients and mentor staff

o Deep dedication to animal welfare, high-quality spay/neuter services, and helping underserved communities

· Working conditions

o High-noise, fast-paced, and frequently changing environment

o Daily exposure to a high volume of animals and pet owners/caretakers

o Requires standing, walking, some lifting and the ability to handle animals
