Description:
The part-time Onboarding Assistant provides essential administrative support to the HR department by executing the end-to-end onboarding lifecycle for a high volume of hires. This role ensures data integrity across integrated systems, maintains strict regulatory compliance, and serves as a technical resource for field technicians during the initial hire onboarding process.
General Duties/Responsibilities:
- Launches new hire onboarding packets within HRIS, ensuring each individual is assigned the correct company-specific documentation and system workflows.
- Monitors employee progress to ensure timely completion of required materials.
- Hosts and facilitates I-9 work eligibility meetings, performing meticulous remote document inspections to maintain federal compliance.
- Manages the E-Verify process for all new hires, ensuring accurate submissions and resolution of any status updates in accordance with USCIS regulations.
- Conducts final reviews of completed paperwork, payroll information, and taxes to update employee profiles and transition new hires to "active" status within Salesforce and other internal databases.
- Acts as a professional point of contact for new hire inquiries, delivering instructional guidance and technical support via email and phone to resolve system access issues.
- Performs data auditing across multiple client entities to ensure accurate record-keeping and compliance with distinct company policies.
- Coordinates with schedulers to ensure a seamless transition of new hires once the administrative onboarding process is finalized.
- Maintains digital records and spreadsheets within Google Suite with attention to detail and a focus on data accuracy.
Requirements:
- Direct experience with I-9 and E-Verify compliance is required.
- Intermediate to advanced computer literacy, specifically within Paylocity, Salesforce, and Google Suite.
- Strong organizational skills with the ability to manage tedious details for multiple companies simultaneously.
- Ability to meet strict deadlines and respond effectively to changing priorities in a fast-paced environment.
- Excellent written and verbal communication skills with the ability to build rapport with a diverse workforce.
- Strong problem-solving skills with the ability to work independently and see onboarding tasks through to completion.
The US base salary range for this part-time position is $20.00-$25.00/hour. This position is not eligible for stocks and/or stock options. Our salary ranges are determined by role, level, and location. The compensation information displayed on each job posting reflects the range for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
