Job Description: POSITION TITLE: Clerk II - HVAC Trades Program (part-time)
DEPARTMENT: Business Solutions and Partnerships
REPORTS TO: Director of Business Solutions and Partnerships
LOCATION: Fall River, MA
POSITION STATUS: This is a part-time, non-benefited position not to exceed 18.5 hours per week.
SALARY: $21.53/hr
STATEMENT OF DUTIES:
The Clerk III position provides clerical and administrative assistance with the day-to-day operational duties of the Business Solutions and Partnerships department. Responsibilities include supporting class and student management, registrations, data entry, maintaining student and departmental records, answering phones and emails, supporting instructors and students, and assisting with departmental communications and reporting. The Clerk III works collaboratively with instructors, staff, students, and community partners to ensure efficient office operations and high-quality customer service.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
- Operate office equipment, including computers, printers, copiers, scanners, fax machines, and multi-line phone systems.
- Provide clerical and administrative support to department leadership and staff including but not limited to scheduling, reserving room, attending meetings, creating agendas, and minutes as needed.
- Process departmental forms including timesheets, travel vouchers, room requests, copier PINs, and technology access requests.
- Utilize college/department software and cloud-based application including but not limited to Banner, Argos, Salesforce, CourseStorm, Microsoft Office/Office365, Teams, Zoom, and other institutional systems to support department operations.
- Process and maintain detailed student records including but not limited to student registrations, student 900 numbers, enrollments, drop deletions, completions, record updates, and Double ID issue resolution in Banner and other applications.
- Process and maintain detailed instructor records within the department in collaboration with fiscal and human resources including but not limited to personal action forms, Computer & Telephone Access, Request for Copier Pin Numbers, Room and Facility Requests, as well as instructor contracts, instructional packets, reports, forms, and departmental documents in compliance with FERPA, confidentiality standards, and institutional procedures.
- Support and maintain class management records including but not limited to CRN request, Zoom links, class rosters, attendance, registrations, completions, certificates, evaluations, and departmental documents in Salesforce, CourseStorm, Teams, and Banner systems.
- Set up classes in CourseStorm and assist students with registration and enrollment into classes at Bristol or with Bristol's third-party vendors.
- Upload CourseStorm rosters into Teams as it relates to CourseStorm payouts in collaboration with student accounts and fiscal.
- Support Business Solutions & Partnerships, and Trades programs communications via phone and email.
- Provide clerical support for CORI/SORI documentation, assessment testing and other student processing requirements.
- Contribute to departmental reporting by maintaining statistics on relevant student outreach as directed.
- Deliver high level customer service to students, faculty, staff, community partners, and the public by phone, email, and in person.
- Participate in development and administration of campus policies and procedures.
- Collaborate with IT and other departments to support office technology and software updates.
- Complete required college training as designated by the College.
- Apply equity-centered customer service practices and participate in meetings, trainings, and professional development.
- Perform additional departmental and administrative duties as assigned in accordance with the Collective Bargaining Agreement.
Job Requirements:
REQUIRED QUALIFICATIONS:
Applicants must have at least (A) one year of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for the required experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
III. A diploma for completion of a program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
IV. An Associate's or higher degree may be substituted for the required experience.*
- Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
ADDITIONAL REQUIRED QUALIFICATIONS:
- Knowledge of clerical and administrative office practices and procedures including record keeping, correspondence control, filing systems, office equipment, and supply maintenance.
- Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and Publisher.
- Ability to learn and effectively utilize systems such as Banner, Argos, Salesforce, CourseStorm, Teams, Zoom and other college applications.
- Strong written, verbal, interpersonal, organizational, and customer service skills.

PREFERRED QUALIFICATIONS:
- Associate degree or higher.
- Experience working in higher education or an educational setting.
- Experience with student information systems such as Banner, Argos, HEIRS, EMS, Salesforce, CourseStorm, or related systems.
- Experience coordinating projects and solving operational problems proactively.
- Ability to work independently on assigned projects.
- Ability to speak a language in addition to English.
