The Role We are looking for a full-time Administration Officer to become the backbone of our daily operations. Located at our Upper Hutt base, you will be the primary point of contact for our clients and the vital link between our customers, management, and the field crew. This is a dynamic role where no two days are the same. You will work closely with our Foreman and the Director to keep our teams moving and our equipment maintained. Key Responsibilities: First Point of Contact: Handling incoming phone calls, emails, and website inquiries with a friendly, professional manner. Scheduling & Team Coordination: Coordinating daily/weekly work rosters and quote visits for our arboricultural teams using our job management CRM. Equipment & Fleet Tracking: Logging and scheduling regular maintenance, servicing, WOFs, and COFs for our vehicles and specialized machinery. Financial Administration: Managing day-to-day accounts, invoicing, and quotes strictly through Xero. What We Are Looking For: Trade Confidence: You are comfortable dealing with tradespeople and field crews, and you thrive in a busy trade-office environment. Tech-Savvy Skills: Proficiency with Xero is required. Experience using a CRM for job scheduling is a major plus, though we will provide full training on our specific system. Organization & Logistics: You love a puzzle and enjoy organizing schedules to keep travel times and team capacities optimized. Communication: Top-notch verbal and written communication skills with a confident phone manner. Local Knowledge: Familiarity with the Upper Hutt and wider Wellington geography is highly advantageous.
