Property Manager

Job Description

The Hoffman Companies, a real estate investment and management firm of over 40 years, owns and operates four residential and commercial properties in downtown Boston that needs a new property manager.

Because we manage our own buildings, which are in close proximity to one another, we are able to provide immediate and personalized service that results in satisfied tenants and low turnover. At The Hoffman Companies, our employees and the people they care for are our primary focus.

POSITION: Property Manager

REPORTS TO: Controller

DUTIES AND RESPONSIBILITIES: The Property Manager is responsible for all of the day-to-day operations of a downtown mixed-use real estate portfolio including, but not limited to, administration of tenant leases, vendor contracts, oversight of property management, engineering, janitorial, and security staff, helping to prepare annual budgets, and assisting the Controller and Principal with associated duties as necessary.

Operations

  • Supervise on-site contractors and resolve property management/operational issues.
  • Track and manage all tenant work orders. Communicate to tenants when completed.
  • Maintain tenant databases and work-order system.
  • Walk the properties with the Chief Engineer weekly, including common areas, mechanical areas, and vacant suites.
  • Maintain tenant relations with regular tenant visits and phone calls.
  • Act as the liaison between the construction manager and tenant during buildouts.
  • Oversee vendor contracts, including bidding and maintaining vendor files.
  • Maintain emergency call lists, including tenants, vendors, and company call lists.
  • Oversee security systems, including cameras and card-access equipment.
  • Coordinate tenant move-ins and tenant events, including welcome gifts and lunches.
  • Maintain tenant and vendor certificates of insurance to comply with company and regulatory requirements.
  • Manage and maintain energy-usage databases.

Lease Administration

  • Create abstracts for all new leases and amendments.
  • Input all pertinent information into the properties’ leasing and accounting software for billing and tracking purposes according to client requirements.
  • Compile and maintain complete lease files on all tenants including tenant move-in information, COIs, and accounting correspondence.

Financial

  • Set up tenant billing and bill tenants monthly for rent, operating expenses, and miscellaneous charges (e.g., utility sub-meter billing, work order charges, and late fees).
  • Monthly collections of all tenant receivables.
  • Deposit daily receipts of rent payments and enter the information into accounting software for correct tracking of tenant receivables.
  • Assist in preparation of annual budgets.
  • Assist with preparing estimates for operating expenses and real estate taxes, as well as annual reconciliations.

Requirements

  • Strong interpersonal and organizational skills.
  • Basic understanding of accounting.
  • Must be able to multi-task, prioritize, and be self-sufficient.
  • Detail- and tenant-oriented; professional and courteous, with excellent communication skills via phone, email, and text.
  • 3+ years in property management and lease administration.
  • Associate or Bachelor’s degree from an accredited college or university.
