Job Overview:

This position is responsible for owning the entire cash flow process including, but not limited to, invoicing, accounts receivable, accounts payable, and collections. The position requires a customer service focused, detail-oriented individual with superb communication and the ability to collaborate with all members of the Gittleman team.

Your Responsibilities:

  • Oversee prompt processing of invoices based on work orders being completed and project completion percentage, while ensuring proper details and descriptions are shown on invoices.
  • Manage accounts payable activities, including review and approval of vendor invoices and payment on accounts within terms of the invoices.
  • Review and analyze monthly vendor statements. Investigate issues identified during review and prepare a monthly summary of findings and recommended corrective actions.
  • Oversee processing of credit cards, ACH, checks, and association payment files accurately to invoices as soon as they are received.
  • Manage accounts receivable processes, including evaluation of overdue invoices. Follow up with Association Managers to determine appropriate collection strategies and resolve complex disputes.
    • Investigate issues with past due invoices and prepare monthly AR analyses.
  • Review open work orders and collaborate with team members to ensure timely closing of work orders and invoicing.
  • Prepare, review, and analyze monthly financial reports, ensuring accuracy.
  • Partner with cross departmental teams (FirstService Residential Corporate Accounting, Client Accounting, Executive Leadership, etc.) to review budgets, forecasts, and possible accounting inaccuracies.

  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies
  • Actively participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines
  • Ensure all safety precautions are followed while performing the work
  • Follow all policies and Standard Operating Procedures as instructed by Management
  • Perform any range of special projects, tasks and other related duties as assigned


Skills & Qualifications:

  • High school diploma or equivalent, Associates’ Degree in accounting or related field preferred
  • Minimum of 2 years related work experience
  • Understanding of trade industries
  • Strong customer service skills
  • Exceptional written and verbal communication skills
  • Ability to prioritize and multi-task
  • Collaborative attitude and team player
  • Highly organized and detail-oriented
  • Ability to handle change in a positive manner
  • General accounting knowledge
  • Proficiency in MS Office applications
  • Experience and understanding of CRMs


Physical Requirements:

  • Sitting at a desk for extended periods of time
  • Dexterity and vision for regular monitor, keyboard, and mouse use
  • Ability to listen and focus for long periods of time
  • Standing at a copier for extended periods of time
  • Climbing warehouse ladder to access storage boxes
  • Subjected to loud noises when running postage and folding machines
  • Ability to lift to 30 lbs.

Compensation: $85,000.00 - $95,000.00 annually
