Under the direction of the Clinical Applications Director, the Clinical EHR Educator plays a key role in supporting the Absentee Shawnee Tribal Health System’s (ASTHS) mission to provide high quality, culturally respectful, patient-centered care. This position bridges the gap between clinical end-users and the EHR Department by delivering effective, workflow-aligned education and training for nurses, providers, and other clinical staff. The role combines clinical experience with strong technical aptitude to ensure clinical staff are confident, competent, and supported in their use of the EHR across all ASTHS facilities. Working closely with the Clinical Applications Specialists, the Clinical EHR Educator helps translate complex EHR functionality into practical, accessible instruction that strengthens documentation quality, streamlines workflows, enhances patient safety, and supports the unique clinical training needs of the tribal health system.
Responsibilities & Duties
- Lead the development and delivery of a comprehensive EHR training program encompassing the full clinical spectrum, including physicians, nurses, and allied health professionals.
- Deliver all new-hire EHR training for nurses, providers, and other clinical staff across ASTHS facilities.
- Develop and maintain training curricula, lesson plans, and competency checklists aligned with ASTHS clinical workflows, best practices, clinical standards, and regulatory requirements.
- Deliver engaging, respectful training sessions, both in-person and virtual (as needed), tailored to diverse clinical roles and learning styles.
- Monitor user competency and/or training needs and provide follow-up training, in-services, and refresher sessions as needed to support ongoing staff development.
- Create illustrated training manuals, job aids, videos, and quick-reference guides that promote consistent, high quality documentation.
- Apply prior clinical experience to contextualize EHR workflows and anticipate the needs of ASTHS clinical teams.
- Explain complex EHR functionality in straightforward, accessible language tailored to diverse clinical audiences.
- Obtain and maintain required EHR trainer certifications and stay current with EHR software updates, upgrades, enhancements, workflow changes, and best practices.
- Provide over-the-shoulder support during go-lives, upgrades, and workflow rollouts, including real-time education and troubleshooting.
- Partner with Clinical Applications Specialists to ensure training content reflects ASTHS policies, best practices, workflows, and quality standards.
- Assist in the development and maintenance of EHR policies, procedures, and documentation standards so ensure rigorous regulatory compliance and the highest level of patient safety.
- Identify and escalate training gaps, workflow bottlenecks, or optimization opportunities that fall outside of clinical scope to ensure their inclusion in the comprehensive EHR training plan.
- Support health system-wide initiatives that strengthen the documentation of quality, operational efficiency, and continuity of care.
- Demonstrate cultural humility and respect for the values, traditions, and expectations of the Absentee Shawnee Tribe and the communities served by the health system.
- Incorporate culturally appropriate communication and training approaches that build trust and support patient privacy.
- Foster strong working relationships with clinical staff, leadership, and stakeholders across ASTHS.
- Drive the continuous improvement of EHR training by systematically collecting and evaluating training metrics and analyzing stakeholder feedback and performance data to continually refine curriculum, proactively enhance instructional effectiveness, and optimize clinical staff proficiency.
- Assist in identifying and recommending best practices for clinical analysis, training opportunities, and end-user support functions.
- Design, build, and validate EHR templates through systematic QA and functional testing to ensure readiness for clinical deployment.
- Conduct ongoing research into emerging EHR functionalities and enhancements to identify training opportunities that optimize clinical workflows and drive system efficiency.
- Assist in the various stages of EHR-related software implementation projects, including planning, designing, go-live/post-go-live, and post-implementation by providing ongoing support, evaluating system outcomes, and identifying and communicating areas of improvement to EHR Team.
- Support the Clinical Applications Director in development of project plans, milestones, change management requests (CMR), and critical issue management.
- Collaborate with cross-functional teams to design and coordinate EHR workflows and deliver training focused on facilitating the accurate collection and reporting requirements of quality measure data for QPP/MIPS, ACO, and insurance value-based payment initiatives.
- Apply outstanding listening and interpersonal skills to foster effective communication and collaboration across physicians, nurses, and clinical support teams.
- Coordinate work effort with other department teams as needed.
- Support special department and health system initiatives as assigned.
- Perform other duties as assigned.
Education Requirements and Qualifications
Education and Qualifications
- Active RN (BSN or ADN) or LPN (Diploma in Licensed Practical Nurse) with a minimum of 3 years of clinical nursing experience required; Registered or Certified Medical Assistant (RMA or CMA) considered based on experience.
- 2 years working with ambulatory EHR and/or similar clinical applications, preferably in an education and training role.
- Previous experience in adult education, staff development, or clinical instruction.
- An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.
Knowledge, Skills and Abilities
- Strong knowledge of EHR systems and clinical documentation workflows.
- Critical thinking and strong problem-solving skills.
- Comfortable working independently and managing multiple priorities.
- Skilled in instructional design with excellent verbal and written communication.
- Presentation and facilitation skills to translate complex technical concepts into practical, user-friendly instruction.
- Ability to recognize and apply CMS and ONC guidelines regarding the Hi-Tech Act.
- Able to travel between ASTHS facilities as needed.
- Highly organized, detailed-oriented, and self-motivated.
- Strong computer literacy and ability to learn new software quickly.
- Proficiency in Microsoft Office Suite and digital education tools.
- Must have a valid Oklahoma Driver’s License.
- Must be able to pass a background check and drug test.
Physical Requirements and Working Conditions
- Prolonged sitting, standing, or walking; occasional bending, squatting, kneeling, and stooping; good finger dexterity and sensory perception; frequent repetitive motions; as well as talking, hearing, and visual acuity are required.
